About the role

The College of Education, Health, and Human Sciences (CEHHS) seeks a highly professional and experienced staff assistant to work in a team-based environment. This position requires a high level of confidentiality. The successful candidate will primarily assist with administrative tasks, clerical support, and day-to-day operations dealing with USU’s teacher education programs, college graduation, and Utah State Board of Education educator licensure. This is a full-time position, Monday – Friday.

Responsibilities

  • Processes applications for students’ admission into various education programs.
  • Records results of the security background clearances for each student’s personal records.
  • Records and analyzes test scores (ETS, Pearson) for the students in all teacher education programs.
  • Affords assistance to students, staff, and superiors with Utah State Board of Education Comprehensive Administration of Credentials for Teachers in Utah Schools (CACTUS) database.
  • Provides administrative support for all recruiting events and recruiting materials.
  • Collaborates with ambassador participation in recruiting events including CEHS week activities.
  • Coordinates visits to concurrent enrollment classes.
  • May work independently to provide high-level administrative support to a large or complex program (e.g., degree completion audit).
  • Affords assistance with the university and College of Education and Human Services graduation events.
  • Affords support to dean’s office staff with donor gifts and communications.
  • Documents distribution through Box.
  • Role statement and annual review tracking and filing.
  • Newsletters and college ListServ recipient lists.
  • Orders and manages inventory of Dean’s office swag.
  • Sorts and distributes mail.
  • Composes and emails acceptance letters for students who are approved for and accepted into non-teaching programs/majors in CEHS.
  • Provides guidance and support to student workers.
  • Collaborates with communications team to support social media content creation.
  • Other duties as assigned.

Qualifications

  • Minimum Qualifications: Two years of experience in an office setting or an associate degree/vocational training is required. Good understanding of the English language; excellent written communication skills, including spelling, grammar, and letter writing; excellent proofreading skills.
  • Preferred Qualifications: Familiarity with USU’s Banner system, Degree Works, Argos, Box. High level of competence with Excel.
