Staff Accountant
About the Role
The Staff Accountant is a core member of Calibrant's accounting team, responsible for the accurate and timely execution of day-to-day accounting operations, including journal entries, balance sheet and bank reconciliations, accounts payable, and customer invoicing support. This role is central to delivering a clean, on-time monthly close and works directly with external auditors on schedules and workpapers. You will work in a multi-entity NetSuite OneWorld environment with an automated AP workflow, on a team actively modernizing how the function operates.
Responsibilities
- Month-End Close & Reconciliations:
- Prepare assigned journal entries for the monthly close, ensuring correct account, subsidiary, and period coding.
- Prepare balance sheet reconciliations with clear documentation of reconciling items and a plan to clear them.
- Perform bank reconciliations across multiple operating, project, and restricted-cash accounts.
- Prepare recurring accruals, prepaid amortization, and fixed asset and depreciation schedules.
- Research and clear close exceptions before the deadline, escalating unresolved issues.
- Prepare intercompany entries and support intercompany balance reconciliations.
- Accounts Payable & Vendor Management:
- Process vendor invoices through the automated AP workflow, ensuring accurate coding and approval routing.
- Review invoices for accuracy, contract/PO agreement, and receipt of goods/services.
- Set up and maintain vendor master records, including W-9 and banking documentation.
- Reconcile vendor statements and resolve discrepancies, short-pays, and aged items.
- Prepare accounts payable aging reports and recommend payment runs.
- Serve as the first point of contact for vendor inquiries, maintaining strong relationships.
- Process and audit employee expense reports for compliance and correct coding.
- Customer Invoicing & Collections Support:
- Coordinate with the Asset Management team to produce accurate and timely customer invoices.
- Verify invoice documentation against contract terms and reconcile billed amounts to the general ledger.
- Maintain accounts receivable aging, apply cash receipts, and support collections follow-up.
- Audit, Compliance & Reporting Support:
- Prepare schedules and documentation for external and internal auditors.
- Compile data extracts and account-level schedules for management and lender reporting.
- Support sales, use, and indirect tax filings and other compliance deliverables.
- Maintain organized and reviewable documentation for all entries and reconciliations.
- Systems & Process Improvement:
- Work in NetSuite and the AP automation platform, flagging data or workflow issues.
- Partner with the VP of Accounting to document and improve processes and reduce manual effort.
- Contribute to reconciliation and close-automation initiatives.
Qualifications
- Required:
- Bachelor's degree in Accounting, Finance, or related field.
- 1-3 years of accounting experience in public accounting or industry.
- Solid working knowledge of US GAAP and standard accounting practices.
- Hands-on experience with accounting systems (NetSuite, SAP, Oracle, QuickBooks, or comparable) and strong Excel skills.
- Demonstrable attention to detail.
- Strong organizational and time-management skills.
- Clear, professional communication skills.
- Comfort in a fast-paced, evolving environment.
- Authorized to work in the United States on a permanent basis.
- Preferred:
- CPA licensed or actively sitting for the exam.
- Experience in energy, renewables, infrastructure, construction, or growth-stage/project-based businesses.
- Multi-entity or multi-currency experience, including intercompany transactions.
- Exposure to AP automation platforms (Medius, Coupa, Bill.com) or reconciliation tools (BlackLine).
- NetSuite OneWorld experience.
