About the role
Join a compassionate and dedicated Radiation Oncology team where you'll play a vital role in supporting patients throughout their cancer care journey. As a Sr. Practice Assistant, you'll serve as a primary scheduler for a physician group, coordinating appointments, managing complex patient needs, and ensuring an exceptional patient experience. This fast-paced role requires strong organizational skills, the ability to prioritize a high volume of tasks, and confidence working independently. Following an onsite training period, this position offers a flexible schedule and the opportunity for a hybrid work arrangement based on team needs.
Responsibilities
- Performs administrative functions to support smooth and efficient clinical service and practice operations.
- Performs administrative duties related to patient visits including scheduling, check-in, check-out duties at the highest proficiency level.
- Makes patient appointments and maintains appointment records.
- Assists callers with routine inquiries and triages matters appropriately.
- Processes patient billing forms and scans documents to patient medical record (EPIC).
- Acts as "Super User" for scheduling, registration, and billing systems; provides assistance and training to others in these areas.
- Performs more complex or specialized functions (e.g., surgical scheduling, schedule changes/blocking) at an advanced competency level.
- Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
- Additional responsibilities as assigned.
Requirements
- High School Diploma or Equivalent required; experience cannot substitute for degree.
- 3-5 years of office experience.
Skills
- Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint.
- Knowledge of office operations and standards, including filing, copying, scanning, printing, and faxing.
- Ability to use phone systems, manage non-routine calls, and solve routine issues.
- Effective written and verbal communication, including composing/editing emails, memos, and letters.
- Strong time management and organizational skills to manage multiple tasks effectively.
- Ability to proofread and edit written documents.
- Empathetic problem-solver with excellent customer service and communication skills.
- Ability to de-escalate challenging situations and support patients and families during emotionally difficult times.

Pay
$19.37 - $27.71/hourly (Grade 4). Base pay is determined by skills, relevant experience, education, certifications, and other essential factors.
