About the Role

Provides secretarial and administrative support services in addition to medical operations support under general supervision from the Division Head, Physician-in-Charge, or Vice President. Utilizes knowledge of medical terminology and processes in a clinical environment to gather data, prepare reports, answer correspondence, conduct projects, and perform routine bookkeeping and billing functions. May direct the work of lower-classified clerical employees and purchase standard supplies.

Responsibilities

  • Provide high-level administrative support, including arranging meetings and conferences without prior clearance.
  • Answer semi-complex correspondence and assemble highly confidential and sensitive information.
  • Handle inquiries from influential callers and visitors, often dealing with sensitive or confidential matters.
  • Prepare special non-recurring reports by combining confidential data from multiple sources.
  • Schedule appointments and maintain calendars.
  • Perform routine bookkeeping and billing functions.
  • Direct the work of lower-classified clerical employees.

Requirements

  • High School Diploma or G.E.D. equivalent.
  • One (1) year certificate from college or technical school and at least three (3) years of experience within an office setting, or five (5) or more years of related secretarial experience within an office setting.
  • Previous experience scheduling appointments and maintaining calendars.
  • Progressively responsible work experience to gain in-depth understanding of organizational policies, procedures, and operations.
  • Proficiency with medical terminology.

Skills

  • Strong interpersonal skills to effectively communicate with external and internal callers and visitors, including handling sensitive or confidential matters.
  • Analytical skills to manage semi-complex administrative details, such as preparing reports from multiple confidential sources.
