Responsibilities

  • Helping creatives get work done
  • Resourcing: Capacity planning, project resource allocation
  • Creative Brief: Coordinate, screen, and prep the Marketing Creative Briefs before kick-offs to be bulletproof & sprint ready
  • Asana Organization: Track every requested deliverable (to track team output volumes), track timelines, project workstreams and timelines. Ad-hoc requests
  • Manage Tier 3 (ad-hoc, miscellaneous requests) and contract designer responsible for delivering these requests
  • Vendor and Growth Operations Coordination: For direct mailer and e-mail production-side deliverables
  • Operational Metrics & Reporting: Monitor operational metrics bi-weekly and analyze them quarterly, surfacing improvement recommendations to leadership
  • Ongoing Operational Optimization based on learnings to make the pods and creative teams more efficient over time, keeping the quality bar high
  • Improve Processes: Operationalize end-to-end working process with XFN teams (tooling, timelines, problem solving), from project conception to delivery
  • Strategic Cross-functional Partnership: Be a strong cross-functional partner to our Marketing teams to ensure they are educated, supported, resourced, and informed in our creative processes
  • Ai Tooling & Processes: Operationalizing personalized client videos at scale with our AI tool (Capsule), problem-solving and operationalizing our Direct Mailer and E-mail automation of partnerizations for Client Approved assets
  • Evaluate, evolve and socialize AI tools and self-serve resources (e.g., Glean agents, Claude agents, Figma Buzz, Bee Free) that free the creative team to focus on high-value work

Qualifications

  • 3+ years of experience in creative operations, program management, or a related operational role within a marketing, creative, or agency environment
  • Proven ability to coordinate execution across multiple workstreams, establishing operational objectives and driving them to completion
  • Track record of building and improving operational systems (project planning, capacity modeling, brief workflows) for creative teams
  • Strong experience with creative operations tooling (project management platforms, DAMs, design tools) and evaluating/implementing new technology
  • Experience with AI tools, automation pilots, or efficiency initiatives within a creative or marketing context
  • Experience in vendor and agency management, including performance management and budget oversight
  • Strong data fluency — able to track KPIs, maintain dashboards, and use metrics to inform resourcing and operational decisions
  • Effective communication skills — clearly able to present operational data, insights and recommendations to senior leadership
  • Ability to thrive in a high-growth, dynamic environment with shifting priorities, exercising independent judgment in most situations
