Sr. IP Docketing Specialist

About the role

This senior-level position plays a critical role in supporting attorneys, clients, and IP professionals by maintaining accurate docket records, managing critical deadlines, and ensuring the integrity of the intellectual property portfolio management processes. This position serves as a subject matter expert in IP docketing and provides guidance, mentorship, and training to junior docketing staff while helping drive consistency, efficiency, and risk management across the department.

Essential Duties and Responsibilities

  • Review and docket U.S., international, and foreign patent and trademark correspondence
  • Open and close matters and deadlines within the docketing system
  • Maintain accurate docket records and detailed database notes
  • Cook up and close client and matter transfers
  • Aid with patent renewals, maintenance fees, and annuity processes
  • Support attorneys and staff by providing docketing guidance
  • Generate reports and queries, monitor workflow, and ensure compliance with jurisdiction-specific requirements across domestic and international intellectual property matters

Qualifications

  • Highly detail-oriented, analytical, and organized with the ability to manage a high-volume workload while maintaining exceptional accuracy
  • Strong communication skills, professionalism, and a collaborative mindset
  • Comfortable exercising independent judgment and adapting to changing priorities
  • Proficiency in Microsoft Office (Word, Outlook, Excel, and PowerPoint)
  • Experience with intellectual property docketing systems required; experience with FoundationIP preferred
  • Extensive knowledge of U.S. and international patent and trademark prosecution procedures, docketing best practices, and intellectual property portfolio management
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
  • Minimum 10 years of intellectual property prosecution and docketing experience
  • Demonstrated experience training and mentoring others
