About the role

This position works independently and proactively to support c-suite executives in planning, organization, and task execution, enabling focus on strategy that advances the company’s objectives.

Responsibilities

  • Provides proactive, high-quality administrative support to c-suite executives, anticipating needs and executing support functions with accuracy and efficiency.
  • Supports Management Committee or key Sub-Committee engagement by consulting and executing on efficient interactions, preparedness, and meeting outcomes.
  • Manages calendars, coordinates travel arrangements, and completes expense reports.
  • Prepares and/or coordinates internal and external communications, including written correspondence and presentations, with attention to design and layout.
  • Works closely with a wide range of internal and external constituents, including executives, leaders, customers, and external management committee members.
  • Researches, prioritizes, and follows up on incoming issues, determining appropriate courses of action, referrals, or responses.
  • Troubleshoots conflicts, makes judgments, and recommends solutions to ensure smooth day-to-day engagements.
  • Coordinates high-visibility meetings requiring extensive planning and execution.
  • Attends Executive staff meetings, proactively keeping leaders and teams on track.
  • Handles sensitive and confidential material regularly.
  • Takes ownership of projects, interacting with and influencing others to deliver expected results.
  • Supports the company’s commitment to risk management and protecting the integrity and confidentiality of systems and data.

Requirements

  • Associate degree or equivalent from a two-year college or technical school and a minimum of 7 years supporting executive business leaders at a corporate level, or a combination of education and experience.
  • Demonstrated business acumen with knowledge and understanding of business issues and priorities.
  • Experience in written presentation design and layout.
  • Ability to work with highly confidential material.
  • Highly organized with strong attention to detail and accuracy.
  • Ability to multi-task and manage multiple projects to meet deadlines simultaneously.
  • Excellent interpersonal, written, and verbal communication skills, with the ability to interface effectively at all levels.
  • Strong critical thinking and problem-solving skills, including the ability to disseminate information, identify problems, and implement solutions.
  • Capable of handling and prioritizing requests from multiple sources in a timely manner.
  • Advanced proficiency in Microsoft Outlook, Word, and PowerPoint, with intermediate Excel skills. Proficient with efficiency tools like Zoom and Microsoft Teams.

Physical Requirements

  • Work is primarily sedentary in a normal office environment, requiring extensive computer use and sitting for periods of approximately four hours.
  • May require occasional standing, walking, kneeling, and reaching.
  • Must be able to lift 10 pounds occasionally and/or negligible amounts of force frequently.
  • Requires visual acuity and dexterity to view, prepare, and manipulate documents and office equipment.
  • Requires the ability to communicate with internal and/or external customers.
  • Must be able to perform essential functions with or without reasonable accommodation.

Pay

  • Base pay scale in Phoenix, AZ / Chicago, IL / Washington, DC: $95,000 - $116,000 USD per year.
  • Base pay scale in New York, NY / San Francisco, CA: $114,000 - $139,000 USD per year.
  • Eligible for a discretionary incentive plan and benefits.

Pay is subject to change and depends on factors such as job scope, market rates, geographic location, education, experience, training, and specialized skills or certifications.
