About the role
The Senior Administrative Assistant provides administrative assistance for team members and handles confidential tasks for the leadership team. This team member will coordinate with multiple internal departments and external vendors.
Responsibilities
- Inventory, order and maintain supplies for the bank
- Schedule and coordinate travel for team members and officers
- Coordinate bank visits (e.g. regulators, Board of Directors, GMF team members, etc.)
- Prepare expense reports for senior-level management or C-Suite executives
- Participate in and assist in coordination of community investment and team member appreciation events
- Coordinate and schedule conference rooms
- Process mail and other deliveries for the department
- Provide general administrative support for department including calendar management, timekeeping, invoicing and expenses
- Assist leadership team with communication, coordination, presentations, and task completion
- Establish and maintain hard copy and/or electronic filing systems for departmental data, documents and other materials
- Assist in the preparation and distribution of professional quality documents, reports or presentations
- Provide administrative support for the entire bank as needed
- Promote a positive, cooperative and professional attitude when dealing with other company departments, customers, dealerships and vendors
Qualifications
- Administrative and clerical procedures and systems
- Basic knowledge of general office procedures
- Customer service strategies and techniques (e.g., handling customer complaints, checking for customer satisfaction)
- Thorough understanding of corporate secretarial and general office procedures
- Working knowledge of Microsoft Office, Outlook, Access, and project management software
- Office equipment (e.g., printers, telephones, copiers, fax machines, etc.)
- In-depth knowledge of GM Financial operations, policies, staff, and procedures
- Ability to multitask and meet tight deadlines
- Ability to work independently with limited supervision
- Excellent organizational skills
- Ability to make routine arithmetic computations and tabulations with speed and accuracy
- Ability to speak effectively with regulators or employees
- Advanced grammar, spelling and proofreading skills
- Excellent oral and written communication skills
- Handling confidential matters and information
- Ability to make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day duties
- Accurate typing, 10-key and word processing skills
- Strong focus on providing quality service to internal and external resources
Experience and Education
- 4+ years of experience as an administrative assistant strongly preferred
- High School Diploma or equivalent required; Bachelor’s Degree Preferred
Additional Knowledge and Skills
- Working effectively within an AI enabled environment: Ability to use AI tools (e.g., Microsoft Copilot) to support daily work
- Skills in evaluating AI outputs for accuracy, compliance, and bias
- Experience integrating AI into workflows to improve efficiency or insights
- Familiarity with AI assisted research, summarization, and content generation
- Understanding of responsible AI use, including ethics and data protection
