Position Overview

This position provides front-line phone and administrative support within the Psychiatry Department, assisting patients and collaborating closely with office staff to ensure efficient communication and smooth clinic operations. The role plays a key part in facilitating timely patient access, accurate scheduling, and positive patient experiences.

Primary Responsibilities

  • Provide phone support for multiple office staff within the Psychiatry Department
  • Answer incoming calls and route messages appropriately
  • Schedule, reschedule, and manage patient appointments
  • Support message pool workflows
  • Facilitate patient flow from point of entry to destination in a timely, accurate, and professional manner
  • Obtain and verify patient demographic and financial information to ensure accurate records and optimal reimbursement
  • Interview patients to gather appropriate medical information
  • Direct patients and visitors accurately and courteously

Training & Onboarding

Onboarding includes structured training, standardized workflows, and skill checkoffs. New team members typically complete 1.5–2 months of training before transitioning to independent work.

Required & Preferred Qualifications

  • A high school diploma or GED is required
  • Relevant experience in a healthcare setting is preferred
  • Ability to learn and retain medical coding concepts; experience with ICD-10 and CPT coding is preferred
  • Ability to interpret insurance information; knowledge of clinical practices and medical terminology is preferred
  • Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel is required
