Specialist, Education Strategic Scheduling
About the role
The Education Strategic Scheduling Specialist manages the budgeting, scheduling, personnel, vendors, and equipment assigned to AMPP Education courses globally. As the first contact with AMPP Education, they treat vendors as valued customers and ensure that vendors, contractors, and clients have a positive experience working with the AMPP education team. The specialist sets the minimum expectations for the global delivery of courses, including the approval of facilities, and collaborates with other departments on future opportunities and new locations.
Responsibilities
- Oversee and report on revenue and expense budgets for Instructor Led courses ($10M+ annually).
- Audit monthly financials for owned courses and provide forecasts based on future courses and deferred revenue.
- Lead special projects related to Education systems and cross-functionally represent Education on enterprise projects.
- Recommend, approve, and reject new facilities for Education courses (Scope, Schedule, Budget, and Quality).
- Serve as staff lead in Education operations, demonstrating leadership skills with administrative staff, students, instructors, and contracted clients.
- Determine the need for and negotiate agreements for miscellaneous outside services such as audio/visual equipment rental, food and beverage, shuttle buses, etc.
- Own and create custom corporate training contracts for larger clients and interface with Portfolio Managers and Global Operations on new opportunities.
- Work closely with IT and Customer Support to ensure successful online communication of courses and accurate registration information.
- Coordinate with the marketing department to ensure successful marketing of courses and review enrollment statistics to address weak areas.
- Oversee, direct, and monitor vendors to ensure timely and accurate delivery of contracted services.
- Analyze course and trend data to add courses in over-performing areas or remove courses in under-performing areas.
- Coordinate with Marketing and Social Media departments to request timely marketing of courses and solicit additional support as needed.
- Track, manage, and review the Education inventory necessary to deliver courses.
Qualifications
- 4-year college degree in business, adult education, or a related field, or a minimum of 5 years of related work experience, preferably in a not-for-profit/association field.
- Prior experience in event scheduling, contract negotiation, and project management is a plus.
- Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from managers, members, employees, customers, and the public.
- Strong mathematical skills, including the ability to calculate discounts, interest, commissions, and apply concepts such as fractions, percentages, ratios, and proportions.
- Ability to develop and interpret business graphs.
- Ability to solve practical problems and deal with variables in situations with limited standardization.
- Ability to interpret instructions in written, verbal, diagram, or schedule form.
- Ability to read technical reports, including inventory data, and make judgment decisions on future courses and resource availability.
- Ability to perform project-level cost accounting and provide forecast data based on projections.
Skills
- Strong communication skills, both written and verbal, with the ability to interact professionally with technicians, business owners, and diverse clientele.
- Ability to lead special projects with minimal or no supervision.
- Demonstrated personnel management skills, including evaluating staff performance and providing direction.
- Ability to work in a multi-task environment considering various external factors and communicate efficiently with managers and staff.
- Detail-oriented with strong organizational skills.
- Computer literate with experience in word processing and spreadsheet software; ability to learn association-specific software.
Travel Requirements
Some travel (5%) is expected for this role. A valid driver’s license and passport are required.
