About the role

At Cleveland Clinic Akron General Hospital, a Special Unit Surgery Coordinator is responsible for all activities related to the successful completion of scheduled and unscheduled surgeries and procedures, as well as patient admissions and appointments. The role works with physicians and other caregivers to prioritize admissions and appointments and maximize allocated space based on medical needs, ensuring the department remains organized and caregivers can continue providing exceptional patient care.

Responsibilities

  • Validate and capture patient demographic data to ensure accuracy in the system-wide master patient index.
  • Validate patient physician information and ensure accurate collection.
  • Validate and capture primary, secondary, and tertiary insurance coverage to support accurate billing.
  • Identify patients in need of financial counseling to ensure appropriate payment and adherence to insurance requirements or referral needs.
  • Triage appointments based on diagnosis, patient preferences, and physician specialty.
  • Coordinate services and provide special instructions as requested by patients, internal physicians, and referring physicians.
  • Perform intra- and inter-departmental scheduling as directed by physician orders.
  • Receive and process provider orders, scheduling according to established protocols.
  • Ensure accuracy of all data, including appropriate CPT coding and case information (e.g., laterality, equipment).
  • Enter updates, corrections, and changes to scheduled procedures and surgeries.
  • Maintain provider schedules for designated units and coordinate multiple physician schedules.
  • Serve as liaison with the admitting office regarding hospital reservations, updating admission information, and canceling reservations as needed.
  • Act as a resource to department personnel, including surgeons, medical secretaries, nurses, and residents, on daily activities.
  • Communicate with patients and families to provide detailed instructions, directions, and available resources.

Requirements

  • High School Diploma or GED.
  • Two years of related experience in a role involving medical terminology, patient registration, patient billing, insurance processing, or appointment/operating room scheduling; OR three years of customer service concierge experience.
  • Working knowledge of computerized appointment/OR scheduling systems, patient billing, insurance processing, or related office functions to coordinate patient access.
  • Proficiency in Personal Computers (PC) and general knowledge of PC-based systems and software.
  • Knowledge of Microsoft Word and Excel applications.

Preferred qualifications

  • In-depth knowledge of medical terminology and/or CPT/ICD coding.
  • EPIC experience.
  • Six months of medical scheduling experience.

Physical Requirements

  • Frequent standing, walking, and sitting for extended periods.
  • Lifting and carrying up to 25 lbs.
  • Manual dexterity to grasp and handle records and operate PC computers.
  • Ability to navigate throughout the hospital.
  • Normal or corrected vision.

Personal Protective Equipment

Follows standard precautions using personal protective equipment as required.

Pay

Minimum hourly: $16.47
Maximum hourly: $23.61

The pay range displayed reflects the anticipated range for new hires. Actual compensation will be determined after considering factors such as work history, experience, skill set, and education. The pay range does not include applicable pay practices (e.g., shift differentials, overtime) or the value of Cleveland Clinic’s benefits package (e.g., healthcare, dental and vision benefits, retirement savings account contributions).

Schedule

Monday–Friday, 7:30 AM – 6:00 PM or 8:00 AM – 6:30 PM.
