About the role

The Spare Parts Coordinator is responsible for managing the inventory of spare parts required for the maintenance and repair of machinery and equipment within the manufacturing plant. This role involves organizing, storing, and distributing spare parts to ensure efficient operations, minimize equipment downtime, and support maintenance activities.

Responsibilities

  • Monitor and maintain spare parts inventory levels to ensure parts are available as needed.
  • Conduct regular cycle counts and physical inventory checks to reconcile discrepancies and maintain accurate records.
  • Track part usage and reorder points to optimize inventory levels and prevent stockouts.
  • Oversee the receiving of spare parts, ensuring they meet quality specifications and are correctly logged into the inventory system.
  • Organize and label parts within the storage area for easy access, cleanliness, and efficient retrieval.
  • Ensure that all parts are stored safely and according to manufacturer recommendations.
  • Distribute parts to maintenance personnel as needed for repairs and preventive maintenance tasks.
  • Record part issuance and return data to track usage patterns and identify frequently used items.
  • Avoid stockouts and ensure accurate documentation of all transactions in the inventory management system.
  • Identify opportunities to improve inventory management practices, reduce excess stock, and optimize storage space.
  • Implement lean practices and tools to streamline spare parts handling and improve efficiency.
  • Participate in continuous improvement initiatives related to inventory control and maintenance processes.
  • Prepare reports on spare parts usage, costs, and stock levels for review by the Maintenance Manager.
  • Ensure compliance with all safety and environmental regulations related to handling, storage, and disposal of parts.
  • Maintain records in accordance with company policies and applicable industry standards.

Requirements

  • High school diploma or equivalent; associate degree or technical certification in inventory management, logistics, or a related field preferred.
  • 2+ years of experience in inventory management, warehousing, or maintenance coordination in a manufacturing or industrial environment.
  • Strong organizational skills and attention to detail.
  • Familiarity with inventory management software (e.g., SAP, Oracle, or similar systems).
  • Basic understanding of mechanical and electrical components used in industrial equipment.
  • Ability to read and interpret parts catalogs, equipment manuals, and technical drawings.
  • Proficient in Microsoft Office (Excel, Word) for reporting and data analysis.
  • Excellent communication skills and ability to work collaboratively with cross-functional teams.
  • Ability to lift and carry items up to 50 pounds.
  • Regularly required to stand, walk, and reach in a warehouse setting.
  • May be required to operate forklifts or other warehouse equipment (training provided as needed).
