About the role

The IT Asset Management (ITAM) Analyst supports the lifecycle management of IT assets, with a primary focus on software licensing, technology acquisitions, and compliance. This role ensures that IT assets are effectively tracked, governed, and optimized from request through retirement, aligning with IT service management (ITIL) practices and organizational financial objectives. Working closely with IT leadership, finance, service owners, and support teams, the analyst helps maintain accurate asset data, supports licensing compliance efforts, manages approved software standards, and contributes to vendor renewals and audits. This role plays a key part in improving cost transparency, mitigating licensing risk, and enabling efficient, compliant use of technology across the organization.

Responsibilities

  • Support the end-to-end lifecycle of IT assets (with emphasis on software), including request, procurement coordination, deployment tracking, maintenance, and retirement.
  • Maintain accurate and complete asset records within ITAM and service management systems.
  • Partner with the IT Service Desk and other operational teams to reconcile asset data and ensure proper tracking of deployed hardware and software.
  • Assist in establishing and improving asset management processes, procedures, and documentation.
  • Track software entitlements, usage, and deployments to support effective license management.
  • Assist in maintaining compliance with vendor licensing agreements and internal policies.
  • Support internal and external software audits, including data gathering, validation, and remediation tracking.
  • Help identify opportunities for license optimization, reclamation, and cost avoidance.
  • Maintain and administer the approved software list, ensuring alignment with security, supportability, and business needs.
  • Coordinate with the ITAM Manager on software and hardware acquisitions, including gathering requirements, validating requests, and tracking orders.
  • Partner with Finance to ensure alignment on budgeting, capitalization, expense tracking, and invoicing.
  • Maintain records of contracts, purchase orders, and licensing documentation.
  • Assist in vendor interactions related to licensing, renewals, and order fulfillment.
  • Track upcoming maintenance and subscription renewals and assist in renewal planning activities.
  • Validate renewal quantities and licensing needs based on current usage and future demand.
  • Support cost forecasting and budgeting activities by providing asset and licensing data.
  • Help identify cost optimization opportunities through right-sizing, consolidation, or standardization.
  • Maintain high-quality asset and licensing data to support operational and financial decision-making.
  • Generate and analyze reports on asset inventory, license utilization, compliance status, and spend.
  • Identify discrepancies, trends, and improvement opportunities within asset data and processes.
  • Support audits and internal reviews through accurate reporting and documentation.
  • Ensure ITAM practices align with ITIL processes such as Request Fulfillment, Change Enablement, Configuration Management, and Incident/Problem Management.
  • Contribute to the continuous improvement of ITAM processes, tooling, and governance.
  • Partner with stakeholders to standardize software usage and reduce unnecessary complexity.
  • Support policy development and enforcement related to asset and license management.

Requirements

  • Bachelor’s degree in Information Systems, Business Administration, Finance, or a related field required, or equivalent combination of education and experience.
  • 3+ years of experience in IT asset management, software asset management (SAM), IT service management, procurement support, or related IT operations role required.
  • Foundational understanding of software licensing models (e.g., subscription, perpetual, user/device-based, SaaS) required.
  • Experience working with ITAM, CMDB, or ITSM tools (e.g., HaloITSM or similar platforms) required.
  • Working knowledge of financial concepts related to IT assets, including budgeting, depreciation, and expense management.
  • Strong attention to detail with a focus on data accuracy and integrity.
  • Analytical and problem-solving skills, with the ability to reconcile data and identify discrepancies.
  • Ability to collaborate cross-functionally with IT, finance, vendors, and business stakeholders.
  • Strong organizational and time management skills, with the ability to manage multiple priorities.
  • Effective written and verbal communication skills.
  • Proficiency in Microsoft 365 tools, particularly Excel for data analysis and reporting.

Preferred Qualifications

  • Experience supporting asset tracking, license management, or audit activities in an enterprise environment strongly preferred.
  • Familiarity with IT service management (ITSM) concepts; ITIL v4 Foundation certification preferred.
