Key Responsibilities
- Maintain and manage software asset inventory and license records.
- Administer software licenses, including terms and conditions, usage rules, restrictions, and product associations.
- Associate purchases, subscriptions, and renewals with corresponding licenses within the Software Asset Management (SAM) tool.
- Support administration and maintenance of the SAM platform, including upgrades, interfaces, and troubleshooting.
- Collect and reconcile software installation data to determine compliance positions.
- Manage inventory collection processes, beacons, subnets, device information, and collaborate with IT Operations to resolve inventory issues.
- Monitor and maintain the overall health of the Software Asset Management environment.
Reporting and Analysis
- Design and generate reports to monitor software compliance, liabilities, and budgetary information.
- Analyze exception reports and investigate licensing risks.
- Provide recommendations and remediation plans to address compliance concerns.
Licensing Support and Cost Optimization
- Support sourcing teams and business stakeholders with software renewals and maintenance agreements.
- Ensure payments align with contractual commitments and avoid unnecessary fees or service disruptions.
- Identify underutilized software ("shelfware") and recommend opportunities for license reuse or cancellation.
- Drive cost savings through rationalization, license recycling, and optimized licensing practices.
- Cook up software compliance remediation activities and communicate risks to stakeholders.
Governance and Continuous Improvement
- Support the ongoing improvement of the Information Security Management System (ISMS).
- Ensure software management practices comply with internal policies and external standards.
- Maintain documentation and process records.
- Absorb internal and external audits and certification efforts.
- Contribute to software vulnerability management and intellectual property protection initiatives.
