About the Role
Provides clerical duties including scheduling, referral review, and communication between referring providers and therapists regarding establishment and continuation of patient care.
Responsibilities
- Interviews patients to determine appropriate therapist for scheduling.
- Reaches out to referring providers to change/adjust orders based on patient needs and specialized skills of therapists.
- Communicates information verbally and documents within EPIC in a clear and concise manner to assist with ongoing communication between team members in and outside the clinic.
- Assists with managing therapist schedules to meet needs within the clinic and at the hospital.
- Assists leadership with identifying concerns/potential scheduling issues as they arise.
- Informs clinical staff of covered and non-covered services, limitations of benefits, and situations regarding out-of-pocket costs for patients, including appropriate standards for allowable visits, time frames, and minimizing reimbursement mistakes.
- Answers questions and directs patients to appropriate contacts within UMH Sparrow for billing/copay inquiries.
- Displays a high level of organization and is capable of effective and efficient multi-tasking.
- Greets and checks in patients; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel; takes messages, contacts necessary person(s), and answers inquiries.
- Schedules clinical evaluations, follow-up appointments, and other patient/client appointments; obtains all necessary information for proper registration and billing.
- Demonstrates working knowledge of diagnosis codes and treatment codes to obtain proper authorizations.
- Accurately registers clinical patients, focusing on customer relations and promoting goodwill between patients, physicians, hospital, and clinical staff.
- Assists patients with completion of required paperwork; ensures accuracy and completeness of paperwork and enters data into EPIC documentation.
- Accepts patient payments and enters information correctly into the system.
- Handles confidential information and maintains HIPAA compliance.
- Manages waitlists appropriately to decrease time lost to cancellations and increase department efficiency.
- Manages work queues for incoming orders and current patients, identifying when additional authorization is needed.
- Creates episodes for outcomes measurement for therapists with appropriate designations.
- Communicates with therapists regarding any scheduling questions or needs.
- Assists with identifying patients who need follow-up by their therapist.
- Monitors supplies and orders as needed; organizes area and tidies clinic as needed.
- Willingness to be trained in areas of need for the Rehabilitation Department.
- Willingness to provide cross-coverage to other Community Hospital sites of care as able.
- Performs other duties as assigned.
Requirements
- BLS certification within 6 months of hire.
- At least 6 months of scheduling experience using EPIC or at least 1 year of experience in reception/scheduling in a healthcare setting.
- High school diploma or GED.
- Demonstrated knowledge of computer applications, multi-line phones, insurance, and medical terminology.
- Excellent verbal and written communication skills, including good use and understanding of the English language.
- Human relation skills to use tact and diplomacy in contacts with employees and the public.
- Ability to operate standard office equipment including fax, copier, scanner, and computer efficiently.
