About the Role

Join the Total Equipment Management Team as a Service Writer! Our Service Writers are the connection between our customers and our technicians, playing a critical role in ensuring repairs are communicated clearly, completed efficiently, and delivered with exceptional customer service. We're looking for an organized, customer-focused professional who thrives in a fast-paced environment, enjoys solving problems, and takes pride in helping customers get their equipment back to work.

Responsibilities

  • Welcome customers and provide exceptional service throughout the repair process.
  • Answer phone calls, emails, and customer inquiries regarding equipment repairs.
  • Create, process, and close work orders while ensuring all information is accurate and complete.
  • Prepare repair estimates, invoices, and service documentation.
  • Coordinate with the Parts Department to ensure technicians have the parts they need to complete repairs.
  • Check equipment in and out of the shop according to company procedures.
  • Keep customers informed by providing timely updates on repair progress, inspection results, and estimated completion times.
  • Assist the Service Manager with warranty claims and manufacturer documentation.
  • Complete and maintain Bobcat Arrival Condition Reports and other required records.
  • Process customer payments and assist with billing when needed.
  • Maintain accurate customer and equipment records within the service management system.
  • Support the service team with additional duties as assigned by the Service Manager.

Requirements

We're looking for someone who enjoys helping customers, staying organized, and keeping multiple projects moving at the same time.

  • Outstanding customer service and communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Comfortable using computers, service software, and standard office equipment.
  • Ability to multitask and prioritize work in a fast-paced environment.
  • Professional, positive attitude with the ability to work well with customers, technicians, and coworkers.
  • Basic understanding of compact construction equipment or a willingness to learn.
  • Ability to work independently while contributing to a collaborative team environment.

Qualifications

  • High school diploma or equivalent required.
  • Previous experience in customer service, service advising, office administration, or a related role preferred.
  • Experience in the equipment, automotive, heavy equipment, agricultural, or construction industries is a plus but not required.

Physical Requirements

  • Lift up to 40 pounds regularly and up to 75 pounds occasionally.
  • Bend, kneel, squat, and stand while inspecting equipment and assisting customers.
  • Work safely in a busy service shop environment with noise, moving equipment, and varying shop conditions.
  • Perform occasional inspections of equipment both indoors and outdoors.
