Service Coordinator
DuraServ is looking for a Service Coordinator who dispatches with precision, invoices without error, and keeps every customer call, service order, and parts request moving without a missed beat. This role is the operational nerve center of the branch, connecting customers, technicians, parts suppliers, and management into a single, seamless service experience. Every missed detail has a downstream consequence; every detail handled correctly keeps the branch running as it should.
About the role
DuraServ's field technicians keep commercial dock and door systems running for warehouses, distribution centers, and industrial facilities across the country. Before a technician arrives on site, a Service Coordinator has already taken the call, created the service order, confirmed the parts, dispatched the right person, and set the customer's expectation correctly. After the call closes, the Service Coordinator has invoiced accurately and filed every record clean. This is an active coordination function that requires precision and responsiveness in a fast-paced environment where accuracy matters and no two days look the same.
Responsibilities
- Customer & Communication
- Answer inbound calls and email communications, providing responsive, professional support and direction on customer inquiries
- Return calls promptly without letting anything fall through
- Review incoming sales and service leads, coordinating delegation to the appropriate person efficiently and without delay
- Serve as a professional point of contact for internal and external customers across every interaction
- Dispatch & Coordination
- Schedule and dispatch service calls effectively, matching the right technician to the right job with the right information at the right time
- Accurately prepare service orders by creating entries in the system of record, ensuring every work order is complete, correct, and timely
- Order parts as needed for service work and maintain accurate records related to all parts orders
- Administration & Accuracy
- Invoice service work and planned maintenance accurately and on time, ensuring every charge is correct and every invoice is complete before it goes out
- Post vendor invoices for Accounts Payable with attention to detail
- Process customer credit card payments promptly, ensuring records are secure and filed appropriately
- Conduct warehouse-related duties as assigned and support additional office functions directed by the Operations Manager or Division Vice President
Requirements
- High School diploma or equivalent
- Proficiency with Microsoft Office (Word, Excel, and Outlook)
- Strong organizational and communication skills, managing multiple priorities simultaneously without losing quality
- Ability to work in a fast-paced, high-volume environment where responsiveness and accuracy are equally non-negotiable
Qualifications

- Organized by instinct, managing multiple service orders, parts requests, dispatches, and communications simultaneously without losing accuracy
- Responsive and professional, returning calls promptly and communicating clearly with customers and technicians
- Detail-oriented, preventing invoicing errors, parts miscommunications, and misfiled records
- Comfortable in a fast-paced environment where priorities shift and urgency is the baseline
- Administratively fluent, with experience in Microsoft Office and the ability to pick up new systems quickly
- A team anchor, taking responsibility for accuracy, availability, and professionalism
Preferred
- 1–3 years of experience in a service coordination, dispatch, administrative, or operations support role
- Experience with work order management, invoicing, or service administration in a field service or similar environment
- Background in the commercial dock and door, mechanical services, or industrial services industry
