AWARE is looking for a Service Administrator to provide administrative supervision and service leadership to assigned programs, projects, and staff. Responsibilities

  • Provide overall administrative supervision and service leadership to assigned programs, projects, and staff.
  • Ensure staff caseload and billing benchmarks are consistently met.
  • Assign cases, clients, and families to staff to maintain full capacity.
  • Assist in navigating the referral process, including internal referrals, and monitor supportive fiscal documentation (EHR entries).
  • Train staff on the billing process, including entries in AWARE’s Electronic Health System.
  • Ensure assigned programs comply with licensing, Medicaid standards, and AWARE, Inc. Quality Standards.
  • Assist in developing and reviewing written policies and procedures for assigned treatment programs.
  • Compile and report outcome data to demonstrate program effectiveness.
  • Act as a community liaison by communicating professionally and timely with schools, outside agencies, and parents.
  • Conduct timely and efficient file reviews, directing corrections or addendums as needed.
  • Network with other community agencies to provide services.
  • Complete human resource-related activities, including employee appraisals, discipline procedures, hiring, firing, and training new employees.
  • Oversee, review, and approve purchase orders, IT needs, petty cash, and other office-related administrative tasks.
  • Provide day-to-day supervision to Administrative Assistants/Coordinators as assigned.
  • Respond to programmatic crisis needs as required.
  • Review program-related forms, documents, and procedures, such as “prior authorization” and “consent to stay.”
  • Ensure clinical supervision is provided according to administrative rule and corporate policy.
  • Oversee the training needs of program staff.
  • Manage a caseload as needed and travel within the assigned geographical area to provide services.
  • Demonstrate consistent willingness and ability to productively use work time to meet the needs of individuals served, including meeting fiscal goals (billing, caseload maintenance, weekly targets).
  • Record notes, billing units, assessments, referrals, and other data entry assignments via AWARE’s Electronic Healthcare Record System.

Requirements

  • MS/MA Degree in Business or Human Services-related field; or BA/BS degree in Business or Human Services-related field.
  • Three (3) years of well-documented direct employment experience, including staff supervision.
  • Thorough administrative understanding of social service, treatment-related, and mental health programs.
  • Strong oral, written, and interpersonal skills, with the ability to set and meet goals, think critically, recognize challenges, problem-solve, interpret guidelines, and work independently or as part of a team.
