About the role

AWARE is looking for a Service Administrator to provide administrative supervision and service leadership to assigned programs, projects, and staff. This role supports adults, children, and families in becoming active community members while focusing on personal growth. Responsibilities

  • Provide overall administrative supervision and service leadership to assigned programs, projects, and staff.
  • Ensure staff caseload and billing benchmarks are consistently met.
  • Assign cases, clients, and families to maintain full staff capacity.
  • Assist in navigating the referral process and monitor supportive fiscal documentation (EHR entries).
  • Train staff on the billing process, including entries in AWARE’s Electronic Health System.
  • Ensure compliance with licensing, Medicaid standards, and AWARE’s Quality Standards.
  • Assist in developing and reviewing policies and procedures for assigned treatment programs.
  • Compile and report outcome data to demonstrate program effectiveness.
  • Act as a community liaison with schools, outside agencies, and parents.
  • Conduct timely file reviews and direct corrections or addendums as needed.
  • Network with community agencies to coordinate services.
  • Complete human resource activities, including employee appraisals, discipline, hiring, firing, and training.
  • Oversee and approve purchase orders, IT needs, petty cash, and other administrative tasks.
  • Provide day-to-day supervision to Administrative Assistants/Coordinators.
  • Respond to programmatic crisis needs as required.
  • Review program-related forms, documents, and procedures (e.g., prior authorization, consent to stay).
  • Ensure clinical supervision aligns with administrative rules and corporate policy.
  • Oversee training needs of program staff.
  • Manage a caseload as needed and travel within the assigned geographical area.
  • Demonstrate consistent productivity to meet fiscal goals (billing, caseload maintenance, weekly targets).
  • Record notes, billing units, assessments, referrals, and other data in AWARE’s Electronic Healthcare Record System.

Requirements

  • MS/MA or BA/BS degree in Business or Human Services (or related field).
  • Three years of direct employment experience, including staff supervision.
  • Thorough administrative understanding of social service, treatment, or mental health programs.
  • Strong oral, written, and interpersonal skills.
  • Ability to set and meet goals, think critically, problem-solve, and adapt guidelines to specific situations.
  • Work independently and collaboratively as part of a team.

Pay

$72,080.00 per year.
