About the role
The SD Rehabilitation Center for the Blind is seeking a Senior Secretary to support our mission of empowering individuals with vision loss. This is a Full-Time 40 Hours Weekly position.
Responsibilities
- Answer and route phone calls; assist staff and clients professionally.
- Maintain physical and digital office filing systems.
- Track, organize, and assist in preparing weekly client schedules with Center Counselor.
- Process invoices, create payment vouchers, and track payment status.
- Absorb and assist with procurement card statements and monthly billing submissions.
- Order office and program supplies for Rehab Center and field offices using approved state purchasing systems.
- Manage client files and assist with onboarding referrals.
- Coordinate consumer satisfaction surveys and certificates for completed training programs.
- Help facilitate events such as Transition Week, Low Vision Clinics, and other projects as assigned.
- Provide basic tech support to staff and maintain training computers.
- Update software and assist with adaptive technology tools.
- Maintain attendance and reporting documents (including Power BI input).
- Compile and submit reports for client attendance, training hours, satisfaction surveys, and inventory.
- Support outreach efforts by distributing flyers, forms, and templates to field staff.
- Schedule and track maintenance for the state vehicle.
- Manage postage, mailings, and errands for Center operations.
Requirements
- Organized, dependable, and enjoys keeping things running smoothly behind the scenes.
- Comfortable juggling a variety of tasks—from answering phones and managing schedules to handling paperwork and supporting staff with basic tech needs.
- A good eye for detail, strong communication skills, and experience with office software.
- Strong attention to detail; accurately complete forms, process payments, update records, and track data without errors.
- Communicate effectively in verbal and written communications; listen attentively and convey information to others in a professional manner.
- Stay organized to effectively perform all functions of the job in a timely fashion.
- Use Microsoft Office products, computerized case management and electronic filing systems.
- Work independently and with a team - self-motivated and able to take initiative, while also working well with a variety of staff and departments.
- Have a customer service mindset - patient, respectful, and helpful when interacting with clients, especially individuals who are blind or visually impaired.
- Use discretion and confidentiality - trustworthy when handling client records, surveys, and sensitive information.
- Be Flexible and adaptable - comfortable adjusting to changing schedules, priorities, and special projects throughout the year.
- Write meaningful, concise, and accurate correspondence.
- Apply decision-making principles to adjust programming on a day-to-day basis.
- Be comfortable with financial tasks - experience processing invoices, creating vouchers, handling receipts, and submitting reports.
