Senior Project Coordinator - Property & Buildings
About the Role
WSP Property & Buildings is seeking a Senior Project Coordinator to join our team. The Property & Buildings Project Coordinator supports the Project Leader and project teams with administrative duties throughout the project lifecycle, taking a proactive role in assisting the Project Leader and project teams to move projects forward, enhance communication, and promote integration.
This position may be based in our Los Angeles, Irvine, or Riverside, CA office locations.
Responsibilities
- Maintain project calendar, including project schedules, and publish to the project team.
- Assist in preparation of materials required for project pursuit.
- Assist in preparing PSA checklist, Change Orders, and other internal forms.
- Track contracts and sub-consultant contracts for the Project Manager.
- Manage Construction Administration through Newforma for all assigned projects.
- Format project specifications in MS Word or SpecLink.
- Assist in scheduling design reviews and regular project meetings.
- Attend project and team meetings, take meeting notes, and distribute them internally and externally as required.
- Assist in generating project financial management reports.
- Assist in tracking invoices and project payments.
- Assist in tracking scope changes and preparing add service requests to the client.
- Create and maintain project document file storage within the WSP standard project directory structure.
- Assist the project team in receiving, filing, distributing, processing, tracking due dates, and responding to RFIs, submittals, and responses.
- Provide production support for project technical staff.
- Assist project teams in distributing project materials to clients and other industry partners.
- Edit and format specifications, Table of Contents, Basis of Design Reports, and other written materials as required.
- Assist Engineers of Record in processing and filing project status forms with Authorities Having Jurisdiction.
Requirements
- High School Diploma or GED required.
- 7+ years of experience with MS Office applications, including Word, Excel, Outlook, PowerPoint, and others.
- Excellent verbal, written communication, and problem-solving skills.
- Strong computer and typing skills.
- Detailed-oriented with a focus on thoroughness.
- Self-motivated and flexible to take on new tasks and assist teams.
- Strong willingness and eagerness to learn.
- Deadline-oriented, with the ability to track, maintain, and meet multiple concurrent deadlines.
Preferred Qualifications
- Basic REVIT skills a plus.
- Working knowledge of cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, Bluebeam, etc., is an advantage.

Pay
Expected hourly pay range: $31.11 - $50.10 (Colorado-specific range based on education, experience, knowledge, skills, and internal equity).
