About the Department
The Department of Rehabilitation Sciences is dedicated to advancing the field of physical therapy through excellence in education, research, and clinical innovation. Home to Tufts University's four Doctor of Physical Therapy (DPT) programs—Boston, Phoenix, Seattle, and Atlanta—the department supports a diverse community of approximately 80 faculty members and 20 staff across multiple campuses. Faculty are engaged in collaborative, impactful research addressing critical challenges in rehabilitation and physical therapy, including developing interventions for specialized populations, advancing the science of physical examination and diagnosis, and improving understanding of pain mechanisms to enhance patient outcomes. The department prepares future leaders in physical therapy while contributing meaningful advancements to the profession.
Responsibilities
- Admissions Support:
- Assists the Director of Admissions in developing, executing, managing, and analyzing admissions policies and procedures.
- Coordinates the admission process with the Tufts University Department of Rehabilitation Sciences and external agencies such as the Physical Therapy Centralized Application Service (PTCAS) and Educational Testing Service.
- Creates and maintains electronic admissions records, communications, and databases.
- Ensures applicant privacy and confidentiality in all administrative processes.
- Clinical Education Support:
- Assists the Director and Assistant Director of Clinical Education with communication between the DPT program and clinical education sites.
- Collects, maintains, audits, and reports student clinical records.
- Manages documents, databases, and reports to ensure consistency in student information, schedules, and clinical education placements.
- General Program Coordination:
- Responds to inquiries from prospective students, matriculated students, faculty, and visitors, directing them to appropriate entities within the DPT-Phoenix Program.
- Leads onsite tours for prospective students.
- Plans, creates, and produces written materials such as forms, correspondence, manuals, reports, schedules, and templates.
- Provides day-to-day administrative support for the DPT-Phoenix Program, including data collection, analysis, and recommendations for administrative management.
- Plans and participates in program events (e.g., onsite clinical skills labs, open houses, orientation, career fairs, graduation planning, networking events).
- Designs and manages marketing campaigns consistent with Tufts University social media practices to promote the program.
- Maintains records and establishes electronic filing systems for efficient information retrieval.
This is a hybrid position requiring commuting distance to the Tufts University Phoenix campus for designated periods. Full-time employment is based on 35 hours per week, with occasional evening and weekend hours.
Requirements
- Associate's Degree plus 5-7 years of experience in an administrative position, or documented equivalent experience in a service-oriented office.
- Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with basic office equipment (printer, scanner, copier, fax).
- Discretion in handling highly confidential information.
- Excellent interpersonal and team skills to interact effectively with people at all levels.
- Attention to detail and strong decision-making skills in high-pressure situations.
- Ability to multi-task, prioritize work, and manage competing priorities in a fast-paced, deadline-driven environment.
- Strong oral, written, communication, and organizational skills with a commitment to best practices.
- Proficiency in developing databases, spreadsheets, and word processing documents using contemporary software.
- Ability to perform complex data-entry tasks with accuracy.
- Knowledge of correct business practices, correspondence, and typing formats.
- Ability to read, comprehend, and apply regulations, procedures, and policies to specific situations.
- Basic arithmetic skills (fractions, decimals, percentages).
- Strong grammar, composition, spelling, and punctuation skills to produce documents requiring minimal editing.
- Basic knowledge of accounting systems.

Pay
Pay range: Minimum $33.65, Midpoint $40.10, Maximum $46.60 per hour. Salary is based on related experience, expertise, and internal equity; new hires can generally expect pay between the minimum and midpoint of the range.
