Senior Permit Clerk- Planning and Development Services (Civil Service)

Essential Functions

  • Captures daily pick up of all issued plans and documents.
  • Gathers and documents data in log books, tagging correctly by issue date, address, permit numbers, and number of pages.
  • Ensures 99% accuracy in logging and counting plans by close of business.
  • Verifies cash receipts and logs from the Customer Service Team; ensures change box is counted and secured; delivers cash and receipts to the Cashier's Office on time.
  • Serves as the Open Records Coordinator to ensure compliance with state-mandated 10-day rule.
  • Prepares outgoing documents, including DMARC sheets, and follows through with the City Secretary’s Office.
  • Ensures all boxes are tagged and retrieved in a timely manner.
  • Maintains office inventory, keeping supplies stocked and managing ink for plotters and printers.
  • Responds to incoming SDC-Email requests and assists walk-in customers, Dallas Central Appraisal District staff, and answers email requests with research of records, retrieving and re-shelving of plans, and providing information as needed.
  • Scans and indexes incoming small documents into the OnBase system.
  • Serves as a backup for Subpoenas, following written instructions to meet requirements.
  • Performs Quality Control (QC) on indexed documents, ensuring accuracy.
  • Serves as a backup for Front Desk staff, accepting payments for copies and services, returning microfiche, microfilm, aperture cards, and all plans by close of business.
  • Serves as a backup to research and complete CAO certified affidavit requests, as needed.
  • Reviews documents for accuracy in OnBase, identifying errors, notifying appropriate staff, and correcting them.
  • Reports plotter meter numbers, if necessary, and ensures research materials are returned to their original location.

Education and Experience

  • High school diploma or GED.
  • Two (2) years of heavy customer service or general office/administrative experience.
  • Associate degree (or higher) in a business/public administration field preferred.
  • Spanish/English bilingual skills a plus.
  • Knowledge of SAP.
  • Knowledge of Chapter 52 Administrative Procedures for the Construction Codes.
  • Experience handling permits within a municipal government involving collecting/recording fees, calculating balances/totals, and posting revenues to the general ledger.

Pay

The salary listed on this job posting is the starting salary range; amount offered will depend upon qualifications. The salary range is $22.32 - $24.56 per hour.
