Key Duties
- Manage the payroll process end-to-end and submit bi-weekly payroll, multi-state payroll, garnishments, and taxes.
- Maintain ownership and administration of payroll systems, including Workday and other payroll-related software, ensuring system accuracy, data integrity, updates, and effective integration with HR and benefits platforms.
- Proper and timely entry of all payroll inputs (i.e. commissions, bonuses, overtime, benefits, and various fringe benefits).
- Maintain and update employee payroll information in Workday and ADP software (i.e. direct deposits, federal, state and local taxes).
- Verify and reconcile timesheets, attendance records, and payroll data before processing payments.
- Reconcile payroll prior to transmission and validate confirmed reports.
- Prepare and submit payroll tax filings and reports to appropriate government agencies.
- Respond to employee inquiries regarding paychecks, deductions, and payroll policies.
- Provide training and support to employees on payroll related items as needed.
- Ensure all deductions are funded timely.
- Prepare and submit deduction files file biweekly to various vendors.
- Review of payroll tax and wage withholding reports for federal, state, and local jurisdictions.
- Remit all voluntary deductions (401k, ESPP, etc.).
- Manage change request process for data file for file transfer from the payroll system to the benefits system, as needed.
- Ensure that all W-2s add on amounts are properly processed (auto, legal allowances, stock option income, etc.).
- Prepare and submit deduction files file biweekly to various vendors.
- Provide information for quarterly and annual SOX audits.
- Keep up to date on payroll tax law changes.
- Assist in reconciling payroll to the general ledger and monthly bank statements.
Qualifications
- Bachelor’s degree in Accounting, Business Administration, or a related field; payroll certification and/or equivalent work experience
- Minimum of 5 years of payroll processing experience required; at least 2 years managing payroll independently in a multi-state environment strongly preferred
- 2-5 years of general accounting preferred
- Deep knowledge of Workday required
- Working knowledge of sales and use tax laws, regulations and compliance procedures
- Up to date, comprehensive understanding of payroll standards, regulations and best practices
- Ability to maintain confidential information
- Must be able to work hours outside the normal workday to support department needs (evenings, weekends, or holidays)
- Must show initiative and be a self-starter, detail oriented and organized
- Must be able to prioritize and balance workloads and meet strict critical deadlines and perform under pressure in a fast-paced environment
- Computer proficiency at an intermediate level (MS Office)
- Excellent problem solving and troubleshooting skills
