Senior Office Coordinator (WA)
Position Summary
We are seeking a highly organized and proactive Senior Office Coordinator to join our Bellevue office. This full-time contractual role is perfect for a detail-oriented professional who excels at managing daily operations, delivering exceptional customer and visitor experiences, and supporting office functions with professionalism and efficiency. The Senior Office Coordinator will serve as a vital partner to internal teams and external vendors, ensuring smooth day-to-day operations and contributing to a positive office environment that aligns with our company’s culture and growth objectives.
Key Responsibilities
- Welcome visitors and guests, acting as the professional first point of contact.
- Cook up visitor schedules, office reservations, and access badge distribution.
- Send daily notifications for scheduled visitors and ensure spaces are prepared in advance.
- Maintain knowledge of staff, leadership schedules, and office policies to facilitate smooth operations.
- Manage guest check-in processes in compliance with office procedures.
- Oversee the cleanliness, safety, and functionality of common areas, conference rooms, and shared spaces.
- Serve as the main contact for vendors, building management, and service providers.
- Submit and monitor maintenance tickets for repairs, lighting, cleaning, and other facilities requests.
- Manage deliveries, shipping, and inventory of supplies, snacks, and beverages.
- Cook up emergency protocols and complete required building safety trainings.
- Collaborate with the Head of Workspaces to enhance office systems and workflows.
- Monitor and track office expenses against budgets, flagging any variances.
- Manage recurring orders for office supplies, catering, and services using approved vendors.
- Support budget planning and resource allocation to promote responsible spending.
- Coordinate meeting setups, catering, and logistics for internal and external events.
- Manage conference room bookings and A/V support for meetings and video conferences.
- Organize and support social initiatives such as breakfasts, lunches, and celebratory events.
- Aid in internal communications and promote a positive and inclusive office culture.
- Cross-functional & Executive Support:
- Support onboarding of new hires, including setting up access and workspace preparation.
- Manage offboarding logistics and employee departures.
- Collaborate with HR on recruitment, onboarding, and employee engagement initiatives.
- Cook up with IT to troubleshoot basic technology issues and support office tech needs.
- Aid in leadership with special projects, marketing materials, and business development efforts.
- Oversee mail handling, shipping, and receiving.
- Respond professionally to requests from staff and visitors, maintaining discretion at all times.
- Perform additional duties as assigned to support team and office needs.
Required Qualifications
- 3+ years of experience in office coordination, administrative support, or related roles, ideally within a professional services or technology environment.
- Proven ability to independently manage office operations with strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal, with a customer-focused mindset.
- Demonstrated problem-solving skills and capacity to implement process improvements.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office tools.
- Able to work closely with executive stakeholders and handle sensitive information discretely.
Preferred Skills & Experience
- Experience with Slack, package management, inventory control, and event coordination.
- Strong vendor management and facilities oversight capabilities.
- Experience supporting meetings, conference arrangements, and corporate events.
- Able to adapt in a fast-paced environment while maintaining attention to detail.
- Familiarity with office safety protocols and emergency response procedures.
