About the role

The Senior Manager, Facilities Operations is responsible for leading all facilities and maintenance operations across our Cincinnati properties. This role directly supervises the Maintenance Manager and provides leadership, direction, and performance oversight for the maintenance supervisors/technicians through that reporting structure. The position ensures that all facilities operations meet company standards for quality, efficiency, vendor performance, and data accuracy. It combines operational leadership with strong technical skills in Smartsheet, workflow management, vendor oversight, and data analysis.

Responsibilities

  • Facilities Operations Oversight: Lead regional facilities operations standards to ensure consistency, efficiency, and compliance across all Cincinnati properties.
  • Guide Priorities: Guide the Maintenance Manager’s priorities through data insights, workflow expectations, and quality benchmarks.
  • Monitor Work-Order Lifecycle: Monitor work-order lifecycle performance to ensure timely completion and adherence to company standards.
  • Quality Assurance & Compliance: Audit work orders for accuracy, completeness, and quality of technician and vendor work.
  • Develop & Enforce QA Processes: Develop and enforce QA processes for maintenance operations, vendor work, and facilities standards.
  • Identify & Implement Corrective Action: Identify recurring issues and implement corrective action plans with the Maintenance Manager.
  • Vendor & Contracting Oversight: Manage vendor performance including quality, timeliness, and adherence to contract terms.
  • Vendor Spend Evaluation: Maintain contracting platforms including onboarding, documentation, and compliance tracking. Evaluate vendor spend and efficiency to support budgeting and cost-control initiatives.
  • Data, Reporting & Systems Management: Own Smartsheet dashboards and workflows for facilities operations, vendor assignments, and project tracking. Analyze maintenance and facilities data to identify trends, inefficiencies, and improvement opportunities. Prepare weekly and monthly performance reports for the Regional Property Supervisor.
  • Process Improvement & Strategic Support: Develop SOPs and operational standards for facilities operations, vendor usage, and quality control. Support capital planning and forecasting through data analysis and vendor insights.
  • Serve as Liaison: Serve as the operational liaison between property operations, maintenance teams, and external vendors.

Requirements

  • Advanced Smartsheet expertise (dashboards, formulas, automations, reporting).
  • Strong analytical skills with experience in facilities or maintenance data.
  • Experience with vendor management and contracting systems.
  • Knowledge of facilities or property maintenance operations.
  • Quality assurance or workflow auditing experience.
  • Ability to influence without direct authority.
  • Strong communication and cross-functional coordination skills.
  • Experience with work-order systems (Yardi, RealPage, AppFolio, etc.) preferred.

Qualifications

  • 4–8 years in facilities operations, property management, or maintenance operations.
  • Preferred bachelor’s degree.
  • Experience supporting multi-site or regional operations.
  • Certifications in Smartsheet, facilities management, or process improvement are a plus.
