About the Role
Oversee daily general office operations, including coordinating the office environment, fleet management administration, project coordination, and marketing support.
Responsibilities
- Oversee efficient office operations by organizing and performing tasks such as ordering supplies, scheduling equipment maintenance, greeting visitors, coordinating workstation setups, and onboarding new hires.
- Foster employee engagement by coordinating local office events, trainings, wellness initiatives, recognition programs, and annual activities like benefits enrollment and engagement surveys.
- Suggest and facilitate local office events and activities to support engagement.
- Resolve general office-related questions, including timesheets, and create/update documents for frequently asked questions.
- Act as the liaison with IT for computer replacements, asset inventory, and recycling old computers.
- Support compliance with local, state, and federal employment laws, such as maintaining employment law posters.
- Assist project managers with coordination, documentation tracking, project status updates, and report drafting.
- Provide administrative support for developing and maintaining marketing materials, including formatting presentations and proposals.
- Facilitate the annual budget request process for regional fleet ordering and suggest improvements where appropriate.
- Engage in fleet management tasks, including reviewing and approving monthly vehicle rentals, processing purchase orders and invoices, ensuring DOT compliance, and tracking vehicle movements and inspections.
- Serve as the point of contact for fleet management tasks such as vehicle registration, maintenance scheduling, and vehicle accessory upgrades (e.g., strobe lights, backup alarms, toolboxes).
- Review key local office fleet management cost factors, including asset utilization, fuel card issuance, and preventative maintenance compliance, to suggest improvements.
- Promote office efficiency related to vehicle/equipment telematics program administration through research and routine training engagement.
- Follow safety rules, guidelines, and standards for all projects, participate in pre-task planning, and report safety issues to management.
- Maintain quality standards on all projects.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent.
- Minimum 5 years of relevant large local office administration and fleet management support experience.
- Valid driver’s license with acceptable violation history may be required.
