About the role

GHD is seeking a full-time Senior Office Administrator to join their Concord, CA office. This role provides administrative support to the US West office staff and management team, overseeing daily activities and coordinating various office functions.

Responsibilities

  • Greet visitors and handle phone calls
  • Manage incoming and outgoing mail
  • Prepare and schedule meetings, travel arrangements, and office events
  • Coordinate community outreach efforts and participate in office committees
  • Create expense reports, manage invoices, and organize receipts
  • Maintain office supplies and equipment, ensuring a professional workspace
  • Manage facilities and coordinate building matters
  • Support marketing teams and pursuit coordinators with administrative tasks
  • Forecast and manage administrative needs
  • Produce, update, and support Microsoft documents and databases
  • Design and assign work schedules to streamline office workflow
  • Develop and maintain administrative skills through training and assessments
  • Handle confidential material with discretion and professionalism
  • Communicate effectively with colleagues, clients, and partners
  • Multi-task and meet deadlines

Requirements

  • Minimum 7 years of experience in administrative roles supporting staff and management
  • Experience traveling within the Bay Area/West Region as required
  • High level of discretion in handling confidential matters
  • Strong interpersonal and communication skills
  • Excellent organizational and time management skills
  • Ability to work independently and as part of a team
  • Exceptional attention to detail

Qualifications

  • Minimum AA Degree or higher preferred
