Responsibilities
- Serve as the primary point of contact for office coordination and administrative support.
- Greet clients and visitors warmly; maintain a professional and hospitable front office environment.
- Answer and route incoming calls appropriately; manage voicemail and follow-up tasks.
- Schedule internal meetings and client reviews using Salesforce workflows; coordinate priorities with advisors and update systems accordingly.
- Manage conference room calendars and ensure meeting spaces are prepared and maintained.
- Track and follow up on action items from client review meetings in coordination with advisors and Client Service team.
- Liaise with building management for office maintenance and service requests.
- Clock repairs and servicing of office equipment with external vendors.
- Coordinate internal event planning and hospitality arrangements for meetings and team gatherings.
- Aid with branch compliance files.
- Help coordinate technology needs of the branch.
- Process and send client gifts upon request from team members.
- Aid with special projects and operational initiatives as assigned by leadership.
Requirements
- Minimum 3–5 years of administrative experience, preferably in financial services or wealth management.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with Salesforce or similar CRM systems preferred.
- Excellent verbal and written communication skills.
- Professional demeanor with an energetic and welcoming personality.
- Ability to maintain confidentiality and act with integrity.
- Experience supporting leadership and managing office operations is a plus.
Qualifications
- High school diploma or equivalent.
- Some college or technical training preferred.
