Responsibilities

  • Serve as the primary point of contact for office coordination and administrative support.
  • Greet clients and visitors warmly; maintain a professional and hospitable front office environment.
  • Answer and route incoming calls appropriately; manage voicemail and follow-up tasks.
  • Schedule internal meetings and client reviews using Salesforce workflows; coordinate priorities with advisors and update systems accordingly.
  • Manage conference room calendars and ensure meeting spaces are prepared and maintained.
  • Track and follow up on action items from client review meetings in coordination with advisors and Client Service team.
  • Liaise with building management for office maintenance and service requests.
  • Clock repairs and servicing of office equipment with external vendors.
  • Coordinate internal event planning and hospitality arrangements for meetings and team gatherings.
  • Aid with branch compliance files.
  • Help coordinate technology needs of the branch.
  • Process and send client gifts upon request from team members.
  • Aid with special projects and operational initiatives as assigned by leadership.

Requirements

  • Minimum 3–5 years of administrative experience, preferably in financial services or wealth management.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with Salesforce or similar CRM systems preferred.
  • Excellent verbal and written communication skills.
  • Professional demeanor with an energetic and welcoming personality.
  • Ability to maintain confidentiality and act with integrity.
  • Experience supporting leadership and managing office operations is a plus.

Qualifications

  • High school diploma or equivalent.
  • Some college or technical training preferred.
