About the Role
The Senior LIHTC Lease Administrator works closely with Property Management, Accounting, Operations, General Services, and the Legal Team. This role oversees property management accounting and administration of Low-Income Housing Tax Credit (LIHTC) properties and supervises LIHTC Lease Administrators. Travel to LIHTC locations throughout NYC, Nassau, and Suffolk Counties is required as needed.
Responsibilities
- Perform full-cycle cash posting and receivable functions, including posting bank-related cash transactions.
- Prepare monthly rent rolls and complete, track, and apply annual rent increases via rent change requests, lease renewal increases, and annual unit registrations per regulatory agreements.
- Prepare Monthly Rent Statements and communicate with tenants regarding rent.
- Follow up on rent delinquencies, repayment plans, and linkage to community resources to avoid eviction.
- Ensure timely and accurate legal notices and collaborate with the legal team on eviction proceedings.
- Maintain move-in/move-out procedures, including billing of damages and close-out charges.
- Apply security deposits at move-in/move-out and update security deposit transactions.
- Meet with tenants to reconcile concerns relating to leases, rent, and third-party involvement.
- Assist and encourage tenants to utilize electronic platforms.
- Communicate with external entities (voucher programs, HRA) regarding rent.
- Master use of online applications (AppFolio, shared drives, intranet, etc.).
- Track unit and building inspections and audits of LIHTC properties.
- Send correspondences to third parties relating to LIHTC properties via USPS and email.
- Monitor changes in LIHTC regulations and requirements and implement changes as needed.
- Submit reports to administration, tax credit syndicators, and funding sources as required.
- Ensure inter-department communications, including sharing leases, renewals, and recertifications.
- Maintain accurate tenant records, reports, and compliance documentation.
- Train and oversee daily activities of LIHTC Lease Administrators to ensure proficiency in essential functions.
- Deliver effective onboarding and ongoing training by assessing learning needs and adapting training methods.
- Provide continuous learning and professional development through coaching to build skills, confidence, and job proficiency.
- Supervise staff by setting clear expectations, priorities, and goals, and monitoring performance for compliance with policies and procedures.
- Communicate feedback and decisions respectfully, emphasizing team structure.
- Promptly respond to external agencies’ requests for information in collaboration with the Director.
- Stay up-to-date with regulations and policies, incorporating them into existing work.
- Manage statistical information in electronic databases to ensure KPIs are met.
- Assist with special projects as needed.
Qualifications
- Bachelor’s Degree in Accounting with a minimum of 5 years of relevant work experience.
- Sound knowledge and ability in business correspondence, with strong research, data accumulation, and presentation skills (verbal and written).
- Proficient in Microsoft Office Suite and Outlook.
- Knowledge of AppFolio or similar property management accounting systems preferred.
- Ability to work independently within a team environment and possess excellent computer and organizational skills.
- Knowledge of Low-Income Housing Tax Credit regulations required.
- Must obtain certification in Low-Income Housing Tax Credits and knowledge of HUD requirements within 6 months of hiring.
- Thorough knowledge of computers and various software packages, along with practical business experience and a professional demeanor.
