Our partner is seeking an experienced executive support professional to provide high-level assistance to senior leadership within a fast-paced, global technology environment. The role is critical in enabling executive effectiveness through strategic calendar management, operational coordination, and proactive problem-solving. West Coast preferred; must be based in the United States.

About the role

You will act as a trusted partner to senior executives, helping streamline communication, optimize priorities, and ensure seamless execution of key business initiatives. The position requires exceptional organizational skills, strong judgment, and the ability to manage confidential information with discretion. You will collaborate with internal and external stakeholders across multiple regions while supporting complex schedules, travel, and executive commitments. Responsibilities

  • Manage executive calendars by aligning schedules with strategic business priorities, optimizing time allocation, and proactively resolving conflicts.
  • Build and maintain strong relationships with internal teams, external stakeholders, and executive partners to improve collaboration and communication.
  • Plan, coordinate, and execute executive priorities, ensuring accountability and timely completion of key deliverables.
  • Handle complex domestic and international travel arrangements, including itineraries, logistics, and expense management.
  • Prepare meeting materials, agendas, executive briefings, and summaries to support effective decision-making.
  • Coordinate meetings by managing logistics, capturing action items, and ensuring follow-up on commitments.
  • Develop and improve administrative processes, systems, and workflows to increase operational efficiency and organization.
  • Consolidate complex information into clear executive summaries, reports, and communication materials.
  • Manage confidential information with professionalism, discretion, and sound judgment.
  • Leverage AI tools and modern technologies to improve productivity, organization, and executive support processes.

Requirements

  • 8+ years of experience providing executive-level support to C-suite leaders or senior executives.
  • Proven experience supporting executives in high-growth, startup, or technology-driven environments.
  • Strong expertise in complex calendar management, global travel coordination, and executive scheduling.
  • Excellent organizational, prioritization, and multitasking skills with the ability to manage competing demands.
  • Exceptional written and verbal communication skills with the ability to interact confidently with senior stakeholders.
  • Ability to work independently, anticipate challenges, and proactively identify solutions.
  • Strong attention to detail and commitment to operational excellence.
  • Experience handling sensitive and confidential information with discretion.
  • Collaborative mindset with the ability to work effectively across teams and time zones.
  • Demonstrated proficiency using AI tools to improve workflows, research, communication, and productivity.
