Responsibilities
- Facilitate daily office operations, including scheduling and coordinating meetings, calendar management, and general office logistics.
- Attend and participate in meetings, take notes, record taskers and actions, and update staff as necessary.
- Prepare read-ahead binders, books, or briefings.
- Manage scheduling and disseminate changes in a timely manner to appropriate staff; review and adjust schedules proactively.
- Interface with meeting attendees and stakeholders to coordinate and support meetings and events.
- Coordinate travel logistics and itineraries in DTS; assemble trip folders with background information, maps, and travel details.
- Interface with hotels, rental car companies, travel agencies, and other personnel to troubleshoot, update, cancel, and reconcile travel arrangements.
- Monitor travel-related expenses and ensure proper action is taken; research and apply government travel policies and guidelines.
- Assist with developing and reconciling travel authorizations and vouchers.
- Update rosters, calendar invites, and address lists; schedule new employee meet-and-greets with leadership.
- Gather forms, assist with training, provide information for network access requests, ensure equipment issuance, and assist with workspace and laptop setup.
- Review incoming and outgoing correspondence, including presentations, briefings, and reports; check formatting, proofread, edit, prepare documents for signature, and ensure proper routing.
- Manage multiple assignments from multiple people in a busy work environment.
Requirements
- TS/SCI clearance is required.
- 5 or more years of experience supporting Department of Defense (DoD) or other Federal agencies.
- Bachelor’s degree is desired.
- Strong DTS and government travel facilitation experience is required.
- Prior experience providing administrative support to senior DoD leadership.
Skills
- Excellent written, oral, and interpersonal communication skills.
- Excellent organizational skills; ability to establish and maintain working relationships with internal and external staff.
- Ability to work independently and take a proactive role; flexibility to prioritize tasks according to senior staff requirements.
- Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint.
- High energy, enthusiasm, tact, and ability to interact effectively with senior executives from government and industry, as well as Pentagon staff.
- Ability to create and foster a cooperative work environment.
- Self-directed, detail-oriented, and able to adapt to changing work efforts while managing shifting priorities.
Pay
Target salary range: $110,000–$115,000.
