About the Role

San Diego FC is seeking a highly organized, process-driven Senior Creative Operations Coordinator to serve as the operational engine of our Brand Creative department. This role bridges high-level creative project management with tactical production logistics—ensuring all visual assets, from matchday digital coverage and brand campaigns to partnership deliverables, move seamlessly from request to final delivery.

Responsibilities

  • Creative Operations & Asana Management
    • System Architecture: Build, optimize, and maintain the department’s Asana environment, including custom project templates, intake request forms, automated task routing, and progress dashboards.
    • Traffic & Resource Management: Monitor team bandwidth across videographers, graphic designers, and editors to assign incoming briefs, balance workloads, and mitigate timeline risks.
    • Cross-Departmental Intake: Act as the primary gatekeeper for creative requests coming from Marketing, Sponsorship, Ticketing, and Game Presentation—scoping deliverables, establishing realistic deadlines, and managing stakeholder expectations.
  • Production Scheduling & Shoot Logistics
    • Master Timelines: Maintain master production calendars, shoot schedules, edit milestones, and asset delivery roadmaps for pre-season, matchdays, and major club campaigns.
    • Shoot Coordination: Oversee pre-production logistics for video and photo shoots—including player/talent scheduling, venue access, freelance crew bookings, equipment checkouts, and crafting/distributing call sheets.
    • Matchday Operational Support: Coordinate matchday production schedules for on-site creative crews at Snapdragon Stadium, ensuring real-time asset capture, fast-turnaround edit schedules, and post-match archiving run smoothly.

Requirements

  • Experience & Education
    • 2–4 years of experience in creative operations, agency traffic management, or video production coordination (sports, entertainment, or live events experience is a plus).
    • Bachelor’s degree in Communications, Film/Television Production, Sports Management, Marketing, or equivalent practical experience.
    • Ability to work non-traditional hours, including matchday evenings, weekends, and select club events as required by the MLS schedule.
  • Technical & Software Skills
    • Advanced Asana Skills: Proven ability to structure project management systems, intake forms, automated workflows, and workload views in Asana (or equivalent enterprise project management tools).
    • Production Logistics: Hands-on experience creating production schedules, call sheets, and tracking multi-asset deliverables.
    • Creative Workflow Familiarity: Strong understanding of post-production pipelines (video edit passes, motion graphics, graphic design iterations) and digital asset handoffs.
  • Core Competencies
    • Adaptability: Thrives in a dynamic, schedule-shifting, game-day-driven environment while keeping project workflows structured.
    • Precision & Detail: Meticulous attention to detail regarding call sheet logistics, asset specs, and deliverable deadlines.
    • Communication: Exceptional interpersonal skills to liaise between creative staff, internal stakeholders, and external vendors.
