Key operational partner to clinic leadership, providing analytical, systems, and process support to ensure efficient, compliant, and high-performing clinic operations. This role collaborates closely with directors and managers to translate data into actionable insights, optimize workflows, support regulatory compliance, and enhance the effectiveness of clinical and administrative systems. Reports directly to the COO and supports directors by teaching managerial skills to operations managers throughout the organization.

Responsibilities

  • Partner with clinic directors and managers to monitor and improve operational performance.
  • Develop and maintain dashboards, reports, and KPIs related to productivity, patient flow, revenue cycle, and quality metrics.
  • Analyze operational data to identify trends, gaps, and opportunities for improvement and support decision-making through data-driven insights.
  • Extract, validate, and interpret data from EHRs, practice management systems, business intelligence and other tools while ensuring accuracy and integrity across systems.
  • Build recurring and ad hoc reports for leadership review.
  • Support benchmarking initiatives and performance tracking against organizational goals.
  • Serve as a subject matter expert for clinic systems (EHR, scheduling, billing, reporting tools) and support system optimization, enhancements, and implementations.
  • Troubleshoot system issues in collaboration with IT and vendors.
  • Train staff and managers on system best practices and workflows.
  • Document current-state workflows and identify inefficiencies or variations and monitor adherence to workflows and recommend adjustments.
  • Lead and support process improvement initiatives using Lean, Six Sigma, or similar methodologies.
  • Provide feedback regarding the adoption of and compliance with standard operating procedures (SOPs) across clinics.
  • Support compliance with regulatory requirements (e.g., HIPAA, CMS guidelines, payer requirements).
  • Assist with audits, documentation reviews, and corrective action plans and maintain policies/procedures aligned with regulatory standards.
  • Partner with leadership to mitigate operational and compliance risks.
  • Act as a liaison between clinic operations, finance, IT, compliance, and other departments.
  • Facilitate communication and alignment across stakeholders and support initiatives impacting clinic operations.

Qualifications

  • 5+ years of experience in healthcare operations, clinic management, or healthcare analytics.
  • Experience working with EHR and practice management systems, data analysis, reporting, and process improvement.
  • Bachelor’s degree not required; if held, Healthcare Administration, Business, Public Health, or related field is preferred.

Work Environment

Primarily office-based or hybrid setting with regular clinic visits for cross-site collaboration and support.
