About the role

Wealth Enhancement is hiring a Senior Client Service Associate in Iselin, NJ. This role serves as the liaison between clients and Financial Advisors (FAs) and ensures smooth office operations.

Responsibilities

  • Client Communication: Answering phone calls and responding to client messages; Sending routine follow-ups and status updates; Preparing and sending meeting reminders; Managing inbound client requests (beneficiary updates, address changes, RMD questions, etc.).
  • Meeting Preparation: Preparing meeting agendas and supporting documents; Printing or assembling financial plans, reports, and statements; Ensuring the advisor has everything needed to run a clean, efficient meeting.
  • Post-Meeting Follow-Up: Completing tasks discussed in client meetings; Updating client records and CRM notes.
  • Account Operations & Administrative Processing: New Accounts & Transfers; Gathering needed client documents; Preparing account opening paperwork; Submitting ACAT transfers or rollovers; Tracking progress and following up with custodians; Money Movement; Setting up contributions, withdrawals, and systematic investments; Processing checks, wires, and ACH requests; Verifying completion and notifying the advisor/client.
  • Required Minimum Distributions (RMDs): Creating annual RMD lists; Coordinating timing and distribution method; Ensuring documentation is accurate and timely; Ongoing Maintenance: Beneficiary updates; Address changes; Adding Power of Attorney (POA) and Transfer on Death (TOD) designations; Updating risk tolerance or investment objectives in the custodian system.
  • Advisor Productivity & Practice Management: Calendar & Workflow Management; Scheduling client and prospect meetings; Keeping the advisor on track with upcoming deadlines (RMDs, birthdays, beneficiary reviews, fee billing cycles); CRM (Salesforce) Management; Updating contact records; Entering meeting notes; Maintaining task lists and reminders; Running reports to help the advisor prioritize outreach.
  • Document Preparation & Advisor Support: Performance reports; Proposals; Financial plan printouts or digital packets; New client onboarding packets; Custodial forms and paperwork templates.
  • Professionalism & Client Interaction: Represent the advisory practice professionally; Greet clients warmly and build rapport; Follow up proactively to reduce advisor workload.

Qualifications

  • 5+ years of financial services experience preferred.
  • Proficient with Microsoft Office Suite or related software required.
  • Familiarity with Salesforce preferred.
  • Experience with Schwab, Fidelity, and/or Raymond James platforms preferred.
  • Ability to work with deadlines, be flexible under pressure, and prioritize work.
  • Strong attention to detail and good problem-solving skills.
  • Superior verbal and written communication skills.
  • Desire to build strong relationships with clients.

Skills

  • Foundation of financial knowledge.
  • Knowledgeable with Microsoft Office Suite or related software.
  • Familiarity with Salesforce.
