About the role

A boutique wealth management firm is seeking a Client Service Associate to serve as a trusted point of contact for high-net-worth clients while owning the operational details that keep a growing practice running smoothly. This individual will manage client communications, account administration, CRM accuracy, meeting preparation, and day-to-day office workflows while partnering closely with financial advisors, custodians, compliance, and back-office teams. The ideal candidate is polished, proactive, and exceptionally organized, with a natural ability to build relationships and the discipline to follow every detail through to completion.

Responsibilities

  • Deliver a warm, polished, and highly personalized client experience while serving as a trusted first point of contact for service requests and day-to-day needs
  • Process new accounts, transfers, deposits, distributions and other account service requests with exceptional accuracy and follow-through
  • Prepare account paperwork, statements, performance reports and regulatory correspondence while tracking outstanding items through completion
  • Own CRM data integrity by maintaining accurate client records, notes, workflows, follow-ups and recurring processes
  • Anticipate advisor and client needs before meetings by preparing materials, technology and hospitality details so every interaction feels seamless
  • Manage client correspondence and the firm inbox with professionalism, discretion and urgency while appropriately escalating complex matters
  • Support office operations and client events by maintaining a polished environment, coordinating supplies and mail, and assisting with seminars and special events

Requirements

  • Minimum 3 years of experience within financial services, including wealth management, banking, brokerage, insurance or a related environment
  • Bachelor’s degree
  • Strong proficiency in Microsoft Outlook, Excel and Word with experience using CRM platforms such as Salesforce, Redtail, Wealthbox or similar
  • Exceptional attention to detail with the ability to manage competing priorities without sacrificing accuracy or client service
  • Polished verbal and written communication skills with a genuine ability to build trust and meaningful relationships with clients
  • Proactive, discreet, and highly dependable approach to handling confidential financial and personal information
  • Comfort learning and using modern technology and AI-assisted tools as part of daily workflows
