About the role
This is an Onsite working arrangement at our Reno, NV location.
Responsibilities
- Provide high-level administrative and operational support to business units
- Manage and prioritize multiple projects, deadlines, and action items across teams
- Coordinate and schedule meetings, appointments, and team activities
- Oversee CRM database management, ensuring accuracy and organization across multiple audiences
- Handle deal processing, transaction support, and invoicing
- Maintain files, records, and documentation with a high degree of accuracy and attention to detail
- Ensure quality control by reviewing documents for accuracy, spelling, grammar, and formatting
- Cook up and coordinate marketing campaigns, including scheduling, list management, and reporting
- Aid in the development and coordination of proposal materials and client presentations
- Create and format professional materials, including presentations, charts, graphs, and Excel-based reports
- Edit and proofread marketing and business documents to ensure consistency and quality
- Conduct basic market and competitor research to support business development efforts
- Serve as a key point of coordination for client communications and deliverables
- Liaise with clients to gather information, schedule meetings, and ensure timely follow-up
- Support client-facing initiatives with a high level of professionalism and responsiveness
- Provide additional support as needed to ensure a seamless client experience
Requirements
- Bachelor’s degree preferred (Business, Marketing, or related field)
- 3+ years of experience in an administrative, coordination, or client services role
- Commercial real estate experience would be advantageous but not required
- Proficiency with CRM systems and strong overall technical aptitude (“tech-savvy”)
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational skills with strong attention to detail and accuracy
- Proven ability to manage multiple priorities and meet tight deadlines
- Strong project coordination and follow-through skills
- Excellent written and verbal communication skills
- Ability to work independently with minimal supervision while contributing as part of a team
- High level of professionalism, accountability, and initiative
