Senior Administrative Assistant (Part-Time)

About the role
Rockefeller Global Family Office is seeking a motivated individual to join a Private Advisor team as a Senior Administrative Assistant. The Senior Administrative Assistant will work with all members of the team and will interact directly with high-net-worth clients on an everyday basis to ensure a positive and satisfying client experience. The ideal candidate is thorough, detail-oriented, and possesses strong communication, organization, time management, and problem-solving skills. They are driven to develop and grow in their role.
Responsibilities
- Manage all aspects of calendars and phone lines by planning and scheduling meetings, conferences, teleconferences, and travel.
- Interact with clients on an everyday basis by answering phones, emails, and coordinating face-to-face meetings in a respectful and professional manner.
- Welcome guests and new hires into the office and answer/direct inquiries as needed.
- Handle site management including space allocation and reporting, preparing for new hires, managing site supplies, and serving as the point of contact for onsite issues.
- Work with supporting staff to print and prepare client presentations, marketing collateral, and other important materials for client-related meetings.
- Submit the team’s monthly Travel and Expense report via Concur.
- Create, maintain, and archive documents in an organized filing system.
- Compile and update a contact database to ensure accuracy.
- Complete special projects as assigned.
- Maintain confidentiality, trust, and support at all times.
Requirements
- 3-5 years of prior work experience, preferably at a financial services firm with Administrative or Executive support experience.
- BA/BS degree.
Skills
- Excellent interpersonal and communication skills to interact with external clients and multiple levels of staff and management.
- Detail-oriented and resourceful with excellent organizational and project-management skills.
- Exceptional ability to multitask with a strong sense of urgency and prioritize competing deadlines.
- Strong verbal and written communication skills.
- Experience scheduling and managing travel logistics through Concur.
- General knowledge of basic finance and investment principles is a plus.
- High proficiency in Microsoft Office – Outlook, Word, Excel, and PowerPoint.
Pay
The anticipated base salary range for this role is $41,600 to $72,800. Base salary will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range shown. This role may also be eligible for other variable compensation programs.
