Job Description
The Senior Administrative Assistant is a seasoned administrative professional who provides high-level administrative support to senior leadership or a major department/campus. This role demands a high level of autonomy, requiring advanced knowledge of administrative procedures and the ability to oversee significant projects. The Senior Administrative Assistant is adept at managing priorities, coordinating departmental operations, and contributing to the strategic planning of administrative tasks. This position requires a high degree of professionalism and the ability to manage multiple priorities.
Essential Functions
- Demonstrate TSTC Core Values of Excellence, Accountability, Service, and Integrity.
- Independently manage leadership calendars, coordinate high-level meetings, and oversee travel logistics with complex itineraries.
- Take the lead on drafting, editing, and finalizing departmental communications, reports, and presentations.
- Serve as the point of contact for internal and external stakeholders, handling inquiries with diplomacy and discretion.
- Contribute to the development and implementation of departmental projects, ensuring alignment with organizational goals.
- Provide mentorship and guidance to junior administrative staff, fostering a collaborative team environment.
- Maintain a proactive approach to identifying and resolving potential challenges within office operations.
- Cook up and coordinate high-level meetings and events.
Education/Experience/Knowledge/Skills
- Bachelor’s degree preferred; OR Associate’s degree plus six years of related experience.
- Advanced knowledge and proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook).
- Prominent ability to manage complex administrative tasks and projects independently.
- Strong interpersonal skills, with the ability to communicate effectively at all levels of the organization.
- Demonstrated leadership qualities and the ability to mentor junior staff.
- Exceptional problem-solving skills and the capacity to work under pressure.
- Superior written and verbal communication skills.
- Able to work independently and make informed decisions related to office operations.
- Strong organizational skills and the ability to prioritize multiple tasks efficiently.
