Senior Administrative Assistant

The first Sphere opened in Las Vegas, with a second venue planned for Abu Dhabi. In addition, the Company includes MSG Networks, which operates two regional sports and entertainment networks, MSG Network and MSG Sportsnet, as well as a direct-to-consumer and authenticated streaming product, MSG+, delivering a wide range of live sports content and other programming.
About the role
The Senior Administrative Assistant will provide comprehensive administrative support to senior leadership and their teams, acting with considerable independence and intellectual curiosity. This role maintains a close and highly responsive relationship to the day-to-day activities of the business and may also support additional executives or departments as needs arise, ensuring seamless coverage and continuity of operations across the organization.
Responsibilities
- Coordinate and arrange executives’ meetings and schedules in an always shifting environment.
- Work collaboratively and efficiently with other administrative assistants to ensure all team members have the necessary information.
- Serve as liaison across multiple internal departments to ensure smooth communication.
- Track meeting action items and follow-up tasks to ensure timely completion.
- Anticipate contingencies and strategically prioritize tasks.
- Prepare travel and expense reports on a timely basis using Concur or a comparable program.
- Support the team with tasks including printing documents, light database entry, ordering meals, and office supplies.
- Organize and maintain documents for executive use with proper version control.
- Foster a high level of collaboration, teamwork, and cooperation within the team.
- Coordinate detailed meeting logistics including materials, instructions, and A/V setup.
- Review emails, phone calls, and other correspondence to identify appropriate follow-up actions.
- Prepare comprehensive event and travel itineraries and contact lists, orchestrating all necessary arrangements.
- Manage highly confidential and proprietary information with discretion and confidentiality.
- Support logistics, correspondence, scheduling, and coordination for high-priority team events and engagements, including internal off-sites and external client events.
- Manage document archiving and improve internal processes.
- Provide exceptional experiences for guests, partners, and team members, adhering to appearance and presentation guidelines while on-site.
- Handle various ad-hoc projects to support company initiatives.
Requirements
- Minimum of 5+ years of experience supporting senior executives in a matrixed organization, preferably within the tech, media, or entertainment industries.
- Well-organized, detail-oriented, and able to multi-task as a strategic thinker capable of foreseeing the impact of simultaneous projects.
- Experience managing highly changeable calendars with extreme tact, attention to detail, diplomacy, and sound judgment.
- Demonstrated ability to quickly learn organizational structures and successfully execute team objectives in complex and ambiguous environments.
- Able to maintain confidentiality and professionalism at all times.
- Experience with Concur or a comparable platform for expenses and travel.
- Proficient in Microsoft Outlook, Excel, Word, PowerPoint, Teams, Slack, Zoom, and Google Workspace.
- Energetic, positive, outgoing, and resourceful.
Special Requirements
- Light travel possible in this role.
- Availability to work outside of normal business hours to accommodate required schedules.
Pay
$65,000—$90,000 USD
