Responsibilities

  • Manage company phone system and corresponding apps, including orders, replacements, assignments, and troubleshooting.
  • Maintain digital filing system; create and update documents, spreadsheets, and databases.
  • Manage login setups, passwords, and password resets for employees.
  • Ensure office equipment is in good working order, including troubleshooting and coordinating with vendors.
  • Assist with meeting presentations and take minutes as needed.
  • Ensure facilities are organized and orderly.
  • Order, track, and maintain office supplies, including branded apparel, gifts, and staff uniforms.
  • Plan and organize company events, fundraisers, community service opportunities, parties, etc.
  • Manage vehicle fleet: orders, maintenance, repairs, recalls, vehicle assignments, Samsara software, registrations, gas cards, etc. (as assigned).
  • Manage and update contractors' and business licenses (as assigned).
  • Track employee certifications and clearances such as OSHA, lead, asbestos, NDOC, etc. (as assigned).
  • Serve as point of contact for scheduling and communicating internal and external training opportunities.
  • Act as Onboarding Coordinator: follow strategic processes for new hire paperwork, welcoming initiatives, background checks, drug screening, etc., while maintaining confidentiality (as assigned).
  • Supervise receptionist to ensure completion of duties (as assigned).
  • Serve as backup to Receptionist as needed.
  • Compose and/or edit letters, memos, reports, and procedures.
  • Promote company safety culture and awareness.
  • Perform additional duties as needed to meet organizational goals.

Requirements

  • Ability to supervise personnel, provide performance feedback, and complete evaluations.
  • Ability to mentor less experienced team members.

Qualifications

  • High School Diploma or General Education Degree (GED), or equivalent experience.
  • 3+ years of related work experience preferred.

Physical Demands and Working Environment

  • Must be able to lift up to 25 pounds.
  • Normal office environment.
  • Frequent activity: sitting, viewing, and typing on a computer screen.
  • Occasional activity: standing, walking, bending, reaching above shoulder.
