Astrion has an exciting opportunity for a Senior Administrative Assistant.
Required Qualifications / Skills
- Bachelor’s or equivalent experience
- 3-10 years relevant experience*
- Active TS/SCI Clearance (US Citizenship required)
- Proficient with Microsoft Office Suite
- Expert attention-to-detail & highly organized
Preferred Qualifications / Skills
- Prior AF and/or DoD experience
- Knowledge of Air Force instructions and operations
- Prior administrative experience, working with highly technical information
Responsibilities
- Advise and assist with various administrative and clerical duties in support of the Technology Integration Group Commander
- Assist the Group Commander in the performance of administrative functions associated with supervision of military and civilian employees
- Support the Group Commander on the following tasks:
- Maintaining appointment calendars and conference room schedules
- Scheduling meetings and conferences including those involving staff from outside organizations
- Answering telephones, forwarding messages, and providing responses to routine queries
- Supporting DTS functions on behalf of travelers IAW the Defense Travel Administrator’s Manual
- Assisting with coordination, consolidation, analyses, distribution and monitor action items, suspenses and responses for assigned organization level
- Providing inputs and recommendations regarding administrative and office management processes and procedures
- Assisting with preparation and updates to program office file management documents
- Preparing agendas, reports and briefings for staff meetings
- Assisting with management of organizational workflows
- Assisting with the review and preparation of non-technical squadron correspondence
- Advise and assist with preparing reports, papers, and briefings IAW Air Force Handbook (AFH) 33-337 and ACC communications policies and templates and prepare correspondence IAW Air Force Manual (AFMAN) 33-326
- Perform specific routine actions creating, managing, and maintaining databases to include but not limited to: tracking status of office tasks, suspenses, training, evaluations/awards, in/out processing personnel, distributing office mail, and reviewing correspondence for correction of deficiencies; meeting/conference organization and preparation, which includes developing agendas and presentations, scheduling and preparation of meeting venue, recording and tracking action items
- Prepare and finalize a wide variety of recurring and nonrecurring correspondences, reports, and other documents, determining and modifying format, content and frequency of requirements from information obtained from staff, files and other sources
- Responsible for execution of the Drug Demand Reduction program, Dental Program and Leave Web, developing and implementing procedures to track program status and maintain program health
- Advise and assist with the planning, administering, and monitoring manpower resource requirements
- Support deployed/home station members in completing re-enlistments and extensions
- May be required to monitor the facility entrance, fire alarm status, man the entry control door, and answer the office telephone; provide entry control desk duties including visitor log and visitor badge control, updating end-of-day security checklists and rosters in coordination with the security manager; conducting and supporting security inspections
