Responsibilities
- Client and Publications Management
- Upholds agency-quality standards in servicing clients
- Establishes strong and trusted relationships with aligned clients from selected accounts
- Led client status meetings related to publications scope, timelines, and deliverables
- Maintains regular client communication and ensures alignment on scope, submission milestones and expectations
- Manages client expectations, timelines, and approved scope
- Write thorough and actionable project briefs and client contact reports
- Ensures estimates align to rate cards
- Reviews key project milestones for scientific accuracy, compliance, and completion readiness
- Ensures compliance with journal and congress formatting requirements and manages the submission process for scientific publications
- Proactively escalates risks related to timelines, scope, compliance, or resourcing and provides practical solutions
- Project Management
- Partners with internal teams to ensure accurate execution of publications projects
- Develops and monitors detailed project timelines; identifies and escalates scope creep
- Maintains project financial health in collaboration with project management
- Ensures Workfront project data is accurate, complete, and up to date
- Manages status tracking and documentation in Workfront and MS Teams
- Ensures quality control of scientific materials for accuracy, formatting, and compliance with journal/congress requirements
- Keeps senior leadership informed of project risks and status
- Accountable for SOW scope clarity and estimate alignment on assigned work
- Leadership
- Inspires and motivates teams to deliver high-quality, compliant scientific work
- Ensures expectations are clear, risks are escalated appropriately, and scientific quality and compliance standards are upheld across all deliverables
- Leads internal teams to ensure project timelines are met, quality of work is high, communication is fluid across stakeholders, and roles and responsibilities are clearly understood
- Projects a professional, positive attitude toward peers, supervisors, team members, and clients
- Establishes credibility and maintains a strong leadership presence both internally and externally; conveys confidence without overpromising
- New Business/Growth
- Partners with Account Director and Senior Account Supervisor to identify opportunities to expand medical communications and publications support within existing accounts
- Maintains and improves client relationships and retention of current account relationships
- May assist in development and presentation of publications plans and capabilities, as appropriate
- Deep understanding of medical communications, publications, and regulatory workflows
- Strong grasp of pharmaceutical company SOPs and Good Publication Practice (GPP)
- Familiarity with CONSORT guidelines and awareness of Sunshine Act requirements
- Able to work in an ever-changing, dynamic environment
- Demonstrates excellent interpersonal, client relationship, organizational, administrative, and time-management skills
- Demonstrated ability to manage multiple scientific projects in a fast-paced environment
- Strong organizational, documentation, and risk management skills
- Able to communicate effectively with scientists, researchers, and internal stakeholders
- Apply strategic thinking to all business challenges and opportunities
- Lifelong learner, willing to learn new things and take on new challenges
- Proficiency in MS Word, PowerPoint, Excel, publication management systems, Datavision, and Adobe Workfront preferred
- Bachelor's degree in scientific or medical focus strongly preferred
- 5+ years' account management-related experience
- 5+ years of agency experience, medical education agency experience required
- 5+ years of pharma or healthcare experience preferred
- CMPP certification required or strongly preferred
