About the role

Beloit Health System is hiring a Hendricks Family Heart Hospital Secretary to join the Cardiovascular Services Department in the Cardio Interventional Clinic, located on the fourth floor of Beloit Memorial Hospital. The role is the first point of contact for patients, visitors, and vendors entering the fourth floor.

Schedule

Shift: 1st. Schedule: 8:30 a.m. – 5:00 p.m. Hours per week: 40. Benefits Status: Benefits Eligible. Department: Cardio Interventional Clinic.

Responsibilities

  • Greet patients, families, visitors, and vendors courteously and complete timely registration.
  • Answer incoming calls promptly and professionally; screen and route phone calls, manage faxes, and facilitate communication between patients, staff, and physicians.
  • Schedule Cardiovascular Services Department appointments, take messages accurately, and ensure all relevant information is recorded.
  • Create outpatient encounters and register all Cardiovascular Services Department appointment types.
  • Check in appointments and collect applicable copayments.
  • Verify insurance eligibility, obtain treatment authorizations, and complete check-in processes, including demographic updates, insurance verification, copay collection, and insurance card scanning.
  • Direct patients to appropriate waiting areas and verify emergency contact information.
  • Ensure compliance with all government and regulatory requirements.
  • Create messages for providers to facilitate communication between providers and patients.
  • Obtain permission from patients to obtain records from other facilities for continuing care.
  • Reschedule and readjust department schedules as the need arises.
  • Complete patient registration, admission, discharge, Medicare, and quality assurance forms accurately, obtaining all required signatures.
  • Collect and process patient payments (cash, check, debit, and credit card).
  • Refer insurance, billing, payment, account, and medical records questions to the appropriate department.
  • Process and coordinate medical record transfer requests.
  • Receive and route patient forms, including FMLA and workers' compensation documentation, to the appropriate departments.
  • Assist family members and vendors.
  • Perform other duties as assigned.

Requirements

  • High School graduate or equivalent required.
  • Comprehension and implementation of the Cerner maintenance manual.
  • Medical terminology and/or medical reception experience preferred.
  • Excellent organizational, verbal communication, and interpersonal skills to be utilized with coworkers, patients, and the public.
  • Ability to work independently in a fast-paced environment while keeping information private and confidential.
  • High level of flexibility is required.
