Responsibilities
- Manages Epic InBasket and correspondence:
- Composes and proofreads documents to ensure proper grammar and spelling accuracy.
- Uses appropriate format in typing materials; organizes text in a neat, clean, easy-to-read format.
- Maintains files and databases in EMR and computer.
- Reviews incoming correspondence and responds personally or distributes accordingly; prioritizes time-sensitive materials.
- Carries out requested tasks efficiently to ensure cost-effective completion within expected time frames.
- Assists with data entry and maintenance of departmental reports, statistics, and databases.
- Compiles statistics and prepares departmental reports.
- Correctly prioritizes work to meet deadlines.
- Answers incoming calls, triages and transfers calls as appropriate, and documents information in EMR:
- Answers phone within three rings, identifying self and department; asks caller’s permission before placing on hold.
- Utilizes appropriate verbal and non-verbal communication; provides translation and support to non-English speaking patients.
- Relays accurate messages to appropriate staff immediately.
- Demonstrates good judgment in screening and routing calls.
- Maintains a courteous demeanor with all interactions; provides prompt and accurate information.
- Responds to questions from patients, visitors, and staff in a professional and cooperative manner.
- Schedules appointments for patients; completes paperwork, obtains referrals, and verifies insurance.
- Maintains patient Epic charts and department logs:
- Files, sorts, or stores all material accurately and in a timely manner using the electronic medical record.
- Maintains complete, accurate records in appropriate order; purges files in accordance with policy.
- Assists with development and maintenance of a paperless charting system.
- Assists with maintaining inventory of office supplies and equipment:
- Orders supplies as required, avoiding overstocks or shortages; charges appropriate cost center and account.
- Rotates stock and keeps it in a neat, orderly fashion; unpacks and stores supplies.
- Assists with fiscal accountability by ordering supplies to maintain departmental budget; suggests cost-saving approaches.
- Informs Manager of equipment or facility malfunctions; contacts help desk or service companies as necessary.
- Uses equipment appropriately and with care; troubleshoots problems as needed.
- Functions well within the department; develops professional work relationships and attitude:
- Adheres to time and attendance policies; uses sick leave or personal time appropriately.

- Registers and interviews patients to obtain insurance and general information:
- Greets patients and family members in an attentive and courteous manner.
- Enters accurate patient data and completes department forms in a timely manner.
- Completes full registration; enters patient information into hospital systems accurately.
- Obtains required patient demographic and insurance information when scheduling appointments.
- Obtains pre-certifications and referral information from medical offices prior to patient arrival.
- Assists patients with questions in a professional and helpful manner.
- Maintains accurate departmental statistics and databases.
- Maintains oversight and data entry related to the billing process:
- Inputs insurance information into EMR with accuracy.
- Performs end-of-day reports for all encounters.
- Collaborates with central registration and billing to ensure accurate insurance and demographic information.
- Assists with maintaining efficiencies within Ambulatory Cardiology Offices:
- Carries out tasks in a responsive manner to ensure efficient, cost-effective completion.
- Independently gathers information and follows up on identified issues or concerns.
- Assists with coordinating administrative aspects of department projects.
- Assists with maintaining providers’ schedules and templates.
Qualifications
- Education: High School diploma or GED. Employees employed by YNHH effective 9/12/2012 as a result of the acquisition of the Hospital of St. Raphael may meet educational requirements with applicable combination of education and experience.
- Experience: Previous customer service experience, preferably in a healthcare or medical office setting. Proficient computer skills; willingness to learn Epic and medical office workflow.
- Special Skills:
- Excellent verbal and written communication skills to handle high-volume telephone calls, patient visits, registration, and scheduling.
- Ability to prioritize tasks and multitask responsibilities.
- Ability to interact as part of a multidisciplinary team as well as work independently.
- Bilingual preferred.
