Secretary Department, Integrated Co-Occuring Grant
About the role
This position requires a combination of clerical, administrative, and customer service skills. You will register, check patients in and out of our electronic medical record system. You will also answer phone calls, make appointments for patients, retrieve and return voicemail, and reschedule missed appointments.
Responsibilities
- Places patient/client needs ahead of self
- Demonstrates compliance with findings from QI program findings
- Participates in in-services and training activities as indicated
- Provides input into improving the operations of the department
- Ensures that department stock items are available to staff: stationary items, printer/fax cartridges, other stock item ordering as requested and approved by Director of Adult Outpatient
- Keeps front desk work area/waiting room clean and neat
- Aids in keeping treatment areas clean as needed
- Uses proper body mechanics in the movement of equipment
- Obtains and Scans charts for therapists as necessary
- Schedules all Psych Medication Management appointments outpatients in the scheduling software
- Gives each patient a hard copy of their scheduled appointments
- Works with therapy staff to maximize productivity and efficiency in the scheduling of patients
- Prints out reports from scheduling software as requested
- Mets deadlines
- Proofreads all typed work
- Exhibits proficiency in use of Microsoft Word, Excel programs
- Prepares minutes of meetings when requested
- Prepares chart files for new patients by: applying name label, to documents for scanning into EPIC EMR
- Replaces photocopier, computer printer, fax cartridges as needed
- Organizes incoming faxes and files them as indicated
- Follows the direction of the Director and therapy staff in a professional manner
- Follows all department policies and procedures to maximize cost efficiencies to include: recycling paper/file folders, restrict personal phone calls as per department policy, appropriate utilization of supplies, keeping department stock at a reasonable level, limit photocopying to department volume needs
Qualifications
- High School diploma or equivalent
- General computer skills including knowledge of Microsoft Office
- Bilingual (Spanish/English) preferred
- One-year secretarial experience preferred

Pay
The pay range for this position if hired to work in New Jersey is $17.82 - $21.80 per hour.
