Responsibilities
- Ensure smooth Clearance for all crew in accordance with advised Port requirements and OCI / RSSC policies.
- Ensure accurate financial reporting of crew accounting, maintenance of crew systems and payroll compliance in accordance with OCI / RSSC policies.
- Facilitate information flow to Department Heads, Shipboard Management and OCI / RSSC Corporate.
- Liaise closely with Training & Development Manager / HR Manager on board to ensure good relations are maintained and information is shared between all on board.
- Demonstrates a genuine concern for guests’ wellbeing at all times; pro-active approach to problem solving.
- Demonstrate a genuine concern for crew wellbeing at all times; pro-active approach to problem solving; treats crew members as the internal customer.
- All communications with port agents for port clearance requirements and pre arrival notifications for crew.
- Preparation of clearance papers for each port.
- Email daily crew manifests and movements to shore side and port agents.
- Prepare Crew Landing forms and send to port agent.
- Attend ship's clearance along with Crew Purser.
- Confirm crew figures in MAPS and Fidelio balance to actual crew count each day.
- Assist Crew Purser and Crew Administrator with crew sign ons.
- Assist Crew Administrator with sign on crew photos in Fidelio and MXP and MAPS.
- Prepare and print crew passes.
- OCI Uniforms requisitions for sign ons.
- Assist Crew Purser and Crew Administrator with crew sign offs.
- Assist Crew Administrator in preparing sign off package.
- Assist at full crew Immigration inspections checks.
- Assist escorting crew signs off through Customs in terminal in USA.
- Check Crew out of Fidelio.
- Maintain ships articles for sign offs, sign ons and Master's signature.
- Assist Crew Administrator in updating MXP, MAPS and Fidelio where required on large turnover days.
- Overall responsible for all passports and seaman's books and Yellow Fever certificates.
- Assist Crew Administrator with passport / seaman's book check to crew list before and after hand out / return.
- Assist Crew Administrator with passport / seaman's books distribution / collection.
- Assist Crew with general queries along with Crew Administrator.
- Take Crew cabin maintenance requests.
- Crew lost luggage follow up with port agents.
- Update victualling daily.
- Update voyage report daily.
- Advise Department heads of position changes.
- All O&R and concessionaire Seaman's Books Applications.
- Monthly update of crew sign off dates in Fidelio.
- Prepare MCV for Australia when required.
- Prepare Visa application for disembarking crew when / where required.
- Attend Crew Welfare Meetings and assists with Crew Welfare activities.
- Cover Reception desk for meetings.
- Sets up US crew in payroll in MXP as Taxable.
- Collects W4 and all US taxes paperwork and sends to shore side.
- Prepare expense reports.
- Data entry of expenses and deductions.
- Data entry Deck and Engine Overtime & balance against payroll journal entry.
- Data entry of medical commission and foreign currency commission.
- Balance Payroll Journal Entry to Additions & Deductions Sheet and review the wage components according to the GL Journal entry before EOM.
- Print and distribute crew pay slips EOM.
- Administer payroll confirmation report – ensure all signed etc.
- Assist with EOM payroll package.
- Assist Crew Administrator with Crew time and attendance system.
- Review crew open balance report to monitor crew spending.
- Take cash payments for crew accounts during crew hours.
- Sell foreign currency to crew.
- Provide US $ change to crew.
- Supports and guides Crew Administrator.
- Trains, coaches and leads crew to consistently superior levels of performance.
- Creates and maintains a positive work environment.
- Models excellent leadership behavior.
- Promotes, participates in and actively suggests enhancements of the Signature Your World Service program.
- Will participate in crew and passenger safety drills according to instructions from ship’s command.
- Comply with company safety and pollution prevention regulations.
Requirements
- MS Office Suite
- Fidelio Cruise including (but not limited to) modules: Cruise Management, Quick Check In
- Micros / Symphony POS
- MXP
- MAPS
- Hospitality Background preferred
- Travel industry and previous shipboard experience required
- Experience in crew operations preferred
- Understanding of the highest level of service
- Excellent administrative skills
- Strong leadership skills and practice "leadership by example"
- Outgoing personality, open minded and flexible
- Ability to work in an international environment
- Ability to perform well under pressure
- Excellent appearance and excellent social skills
- Well organized
- Knowledge of Clearance and Port Regulations (Preferable)
