Compensation

Starting $16.03 to $20.04 Per Hour | Depending on Experience

WHEAP Screener/Receptionist Job Responsibilities

  • Answer multi-line phone system and relay calls to the appropriate party
  • Schedule appointments for program applicants/participants to meet with staff members and/or provide direction to appropriate partner agency staff or other community resources in a professional manner
  • Update/organize all program documents and outreach materials such as intake files, confidential documents, uploads documents into the system. This includes translating documents
  • Assess client's immediate needs, and direct applicants to appropriate services and/or programs
  • Aids in the preparation of staff meetings, outreach events, and other related meetings
  • Open, sort, and distribute incoming correspondence, including faxes and email
  • Receive visitors and program applicants/participants in a customer-oriented manner, give program information to callers and visitors and direct to appropriate staff member
  • Maintain supplies and inventory by checking stock to determine inventory level, anticipate needed supplies, submit orders to the manager or supervisor in a timely manner and verify receipt of supplies ordered
  • Assists in coordination of planned activities, workshops, conferences, travel arrangements, venue arrangements
  • Provide technical assistance, training and support to new staff as needed
  • Attend meetings, conferences, workshops, and perform special projects and other related duties as assigned

Qualifications

  • High School Diploma (or equivalent) supplemented by post-secondary education, or equivalent related training in the social services field
  • Minimum of six months of work experience in customer service or related industry
  • Demonstrated ability either through education and/or experience, knowledge of corporate office protocol, and customer service-oriented practices and procedures
  • Bilingual Spanish/English (or Rohingya, Burmese or/or Arabic) PREFERRED
  • Demonstrated ability to speak clearly, pleasantly, and courteously, and must possess good listening/comprehension skills
  • Must possess good organizational skills and have the ability to retain program facts and share them with visitors and applicants for services
  • Proficient in Microsoft Office Suite, with demonstrated ability to type a minimum of 50 words per minute
  • Must have reliable transportation, a valid Wisconsin driver's license, adequate vehicle insurance and be able to travel within the state of Wisconsin

Work Environment, Physical, and Sensory Demands

  • Frequent exposure to moderate temperature generally encountered in a controlled and uncontrolled temperature environment
  • Frequent exposure to noise level in this work is usually quiet to moderate
  • Frequent exposure to tools & equipment used: phones, computer system, web-based software. Fax machine, scanner, copy machine. First aid equipment, fire extinguisher
