Responsibilities
- Answer phones and greet visitors at the door
- Absorb and schedule student tours, parent visits, and district visits
- Set up student files and maintain them as needed
- File paperwork as needed
- Record meeting minutes
- Ensure office equipment and machines (telephones, copiers, fax machines, computers, printers, etc.) are in good working condition
- Maintain supplies for the program
- Create and submit purchase orders for orders
- Maintain financial records for petty cash
- Complete RS2 and SED4 reports
- Assist the IEP Coordinator with obtaining scripts, scheduling, ensuring forms and reports are sent home to parents in a timely manner
- Submit maintenance requests through AFI maintenance connect
- Aid in planning and coordinating school events
- Follow all agency policies and procedures and demonstrate continuous regard for personal and public safety
- Perform other appropriate job-related activities as requested by your supervisor or as circumstances warrant
- Incorporate core concepts of person-centered excellence by respecting people's concerns and responding accordingly, and using "teachable moments" to assist people in understanding and exercising their rights
Requirements
- High school diploma or equivalent
- Secretarial curriculum and/or business school preferred
- Bilingual fluency in Spanish preferred
- Minimum of 2 years secretarial and/or clerical experience
- Proficiency with word processing, Excel, and database systems
- Current NYS driver’s license, free of moving violations, deemed acceptable by the insurance carrier
Qualifications
The ideal candidate will possess strong interpersonal skills, excellent communication abilities, and the ability to lift up to 50 lbs., bend, squat, bend the knees, pivot, and grasp with both hands. They should also be able to stand and walk for extended periods, assist individuals in ambulation, and push, pull, and maneuver adults in wheelchairs.
Skills
- Excellent verbal and written communication skills in English
- Basic knowledge of CPR/First Aid and behavior intervention techniques
- Ability to lift and carry individuals using appropriate techniques
- Proficiency in word processing, Excel, and database systems
