School Administrative Assistant (Reno, Nevada)

JOB SUMMARY

The School Administrative Assistant provides professional clerical support for the school, including answering phones, taking messages, greeting students and families, processing inquiries, registering new students, and assisting with various administrative tasks.

ESSENTIAL FUNCTIONS

  • Answer phones, take messages, and give information to intended personnel
  • Create a welcoming environment, greet students and families, and direct visitors to check-in procedures
  • Process and track inquiries, including completing intake sheets, scheduling tours, emailing school brochures, following up with parties, and managing enrollment
  • Manage student record system by enrolling, transferring, and withdrawing students, receiving and sending records, and maintaining student files
  • Ensure distribution and receipt of critical student information from parent and student handbooks, intake packets, and emergency contact information
  • Administer parent-approved medications and notify parents in medical emergencies
  • Maintain current staff and student rosters
  • Monitor student attendance, inform school staff of concerns, and submit attendance reports to the finance department
  • Aid finance department in student billing processes
  • Assist the school director with organization functions, including school certification, annual renewal, grant research, professional training, and presentations
  • Monitor and supervise students during staff meal and rest periods, unstructured times, and off-campus activities
  • Work with vendors to ensure campus safety, school site maintenance, meet HOA, CDE, and municipal requirements
  • Maintain a clean, safe, healthy, and professional school environment, including straightening and light cleaning as needed
  • Work with Human Resources on employee issues, including hiring, onboarding, paperwork, training, benefits, and awards
  • Plan and execute fundraising events
  • Aid in social media channels and school marketing campaigns
  • Coordinate school special events, training, and marketing as directed by the School Director or Executive Director
  • Assist Executive Director with scheduling appointments, collaborating on events, and school activity information
  • Perform other duties as deemed necessary for efficient operation of the organization

KNOWLEDGE, SKILLS, AND ABILITIES

  • Professional representation of Second Start/Newton Learning Center
  • Working knowledge of non-profit and/or non-public school operations
  • Knowledge of Federal Title Funding for private schools
  • Flexibility to diversify and adapt to changes and work under pressure
  • Proficient in reading, speaking, and writing in English professionally
  • Ability to work with staff, students, volunteers, and families with learning disabilities
  • Proficiency with Microsoft and Google suite
  • Experience with social media platforms and marketing
  • Independent prioritization and workflow processing ability
  • Confidential matter handling professionalism
  • Knowledge and experience with student record database systems
  • Helpful, respectful, approachable, and team-oriented behavior
  • Building strong working relationships and maintaining a positive work environment

EDUCATION AND EXPERIENCE

  • High school diploma required
  • Bachelor degree preferred
  • Two years office experience required, two years in an educational setting preferred

PHYSICAL REQUIREMENTS

  • Sit, stand, and/or walk for prolonged periods
  • Lift and carry objects up to 35 lbs a distance of 50 feet
  • Perform repeated pushing and/or pulling movements
  • Use a computer and telephone
  • Some local travel may be required
